We are seeking a Tenant Services Coordinator to join our team at 2 Bloor Street West, Toronto. In this role, you will serve as the primary point of contact for tenants and clients within the assigned portfolio, ensuring prompt, consistent, and high-quality service. You will also support the Property Management team by maintaining efficient communication and documentation processes to help deliver an exceptional tenant experience.
A requirement of this role is to be onsite 5 days per week.
KEY RESPONSIBILITIES
- Acting as the primary receptionist for the Property Management office, including managing the main office line, greeting visitors, and coordinating office services (couriers, catering, calendar management, files, equipment, and inventory).
- Managing the Angus Anywhere Tenant Work Order system, assigning work orders, following up on tenant requests, and ensuring timely completion in line with KPIs.
- Preparing and issuing quotes for chargeable tenant services and providing administrative support for the tenant chargeback process.
- Communicating with tenants daily, preparing advisories, and coordinating tenant services such as Conference Centre, Tenant Lounge, elevator bookings, and move-ins/outs.
- Maintaining tenant and property contact records, including Tenant Manuals.
- Assisting with the coordination of tenant and community events as the Tenant Services Coordinator.
- Administering the Tenant and Contractor Insurance Certificate Program.
- Supporting Tenant Satisfaction Surveys and implementing resulting action plans.
- Managing and maintaining the tenant engagement app and social media accounts, contributing creative marketing support for property newsletters and posts.
- Providing administrative support to the property management team, including backup for the Property Administrator role.
QUALIFICATIONS & ATTRIBUTES
- Holds a post-secondary degree or has equivalent work experience.
- Minimum one (1) year of office administration experience, ideally in professional services.
- Prior experience in property management and/or real estate is an asset.
- Proficiency in Microsoft Office is preferred.
- Possesses superior communication and organization skills.
- Dedication to delivering exceptional service consistently.
- Adaptability to change with a positive outlook, consistently delivering successful results within specified time frames.
- A team-oriented approach to achieving goals and objectives.
- Unwavering commitment to performing with exceptional integrity, fostering an environment built on trust, honesty, and respect.
