About the role

Working to coordinate numerous administrative activities to support the Executive leadership. The Executive Assistant manages a variety of complex and/or highly confidential issues with and/or on behalf of the Executive team member they support.

KEY RESPONSIBILITIES

  • Working as a business partner to provide senior administrative support to the assigned Executive team member:

    • Work to keep the Executive team member organized by identifying, prioritizing and planning business related activities including scheduling and maintenance of their business calendar.
    • Organize in-person, virtual and hybrid meetings on behalf of the executive, ensuring that technology and all participant materials are prepared in advance.
    • Prepare meeting packages and follows up on action items arising from prior meetings, including detailed meeting minutes where appropriate.
    • Manage email and voice-mail and other confidential correspondence on behalf of the executive as required.
    • Arrange out-of-town business meetings, including securing travel and accommodation arrangements.
    • Reconciliation of executives monthly Credit Card statement.
    • Manage and support various high risk and high profile projects associated with the Executive, and ensures that the Executive is prepared with information and materials required.
  • Participate in and provides administrative support to various committees that the Executive is involved:

    • Prepare and distribute detailed agendas, meeting dossiers and meeting minutes with follow-up on action items on behalf of the committee.
    • Maintain committee membership information and assist with annual recruitment of new members.
    • Develop and maintain committee communication avenues, and ensures that information is up to date, relevant and accessible by committee members.
    • Support the Executive and CPSA’s leadership team in tasks resulting from committee work.
  • Provide administrative support to other departmental teams and/or activities as requested.

  • In support of continuous quality improvement, review and make recommendations to update process or procedures within CPSA.

  • Other duties as required.

QUALIFICATIONS

  • Required Minimum Qualifications:

    • Post secondary diploma in administration or equivalent
    • 5 years of related administrative experience
  • Preferred Qualifications and Experience:

    • Excellent verbal and written communication skills with a strong customer focus.
    • Competent in Microsoft Office or Office365, including proficiency in MS Excel.
    • Ability to multitask and coordinate competing priorities.
    • Exceptional organizational skills with the ability to apply critical thinking and problem-solving.
    • High attention to detail. Ensure privacy and accuracy in communications and correspondence.
    • Broad knowledge of the health system is an asset.

SALARY
The annual salary for this position is $69,342 and includes a comprehensive benefits package and pension plan.

During the 90-day probationary period, the successful candidate will be required to work from CPSA's downtown Edmonton office. At the conclusion of a successful probationary period, a hybrid work arrangement may be considered.
