WHAT YOU’LL BE DOING: **Reporting to the Director, Planning & Standards, the Operations Specialist (Retirement Living) will provide coordination and analytical support to enhance divisional planning, standardization, policy governance, and program implementation across the Retirement Division. This role supports the planning, documentation and roll-out of programs and standardized processes, the development and maintenance of policies and program tools, and the tracking of key initiatives and performance metrics. This Operations Specialist (Retirement Living) also assists in coordinating the planning, communication, education, and implementation of Retirement Operations programs and initiatives

This role will work collaboratively with various operations and support partners across the organization to maintain accurate and up to date documentation, policies and procedures, along with supporting various improvement programs.

RESPONSIBILITIES:

COMMUNICATION

  • Support development and layout of divisional communication materials using advanced PowerPoint and Word skills, ensuring clarity and visual consistency
  • Develop and publish divisional communication materials, including playbooks, job aids, and presentation decks to support rollout of standardized practices and initiatives
  • Support the communication process for divisional initiatives to ensure messaging is consistent, timely, and aligned with organizational priorities
  • Create presentation materials and summaries to support divisional and executive-level reporting

PROGRAM DEVELOPMENT SUPPORT

  • Support rollout of new programs and initiatives to ensure long-term sustainability.
  • Provide insights and analysis as required in support of ongoing program/project work.
  • Support communication and tracking of goals and measures related to program implementation.
  • Assist in the development of change management materials to support new divisional initiatives.

POLICY AND PROCEDURE REVIEW MANAGEMENT

  • Lead and coordinate the review and refresh of divisional policies to ensure they are current, relevant, and aligned with operational practices and regulatory requirements.
  • Maintain organized documentation and tracking tools to monitor policy review cycles, updates, and continued alignment to divisional standards
  • Maintain editorial control and standardized formatting of divisional Policy & Procedure Manuals in collaboration with subject matter experts.
  • Support management and maintenance of the Retirement Division’s Policy Administration platform (PolicyStat) and workflow.

RESIDENT & FAMILY ENGAGEMENT SUPPORT

  • Support Resident & Family Survey Program through external vendor engagement.
  • Analyze and review Resident & Family survey results and prepare presentations highlighting key trends, insights, and opportunities for improvement.

QUALIFICATIONS:

  • A Bachelor’s degree in Business Administration or a related field.
  • Experience developing clear, visually engaging presentations, reports, and communication materials.
  • Experience in process documentation, policy management, project coordination or program coordination preferred.
  • Experience developing strong, effective working relationships and networks with key internal/external stakeholders and relevant external organizations.
