Position Description We are seeking a detail-oriented and proactive Office Assistant to manage a variety of office operations and logistical tasks. The ideal candidate will be organized, have strong communication skills, and capable of handling multiple administrative functions to ensure smooth day-to-day operations.

Key Responsibilities

  • Maintaining office supplies and copiers.
  • Sorting and distributing incoming mail daily.
  • Coordinating incoming and outgoing courier packages including local transfer of documents across locations in Calgary.
  • Assisting with the transfer of data within VISUAL ERP such as Customer Orders, Inventory Transfers and other adhoc information.
  • Receiving of admin, stationary, services and other office supplies within the ERP against blanket PO’s.
  • Archiving and organizing documentation as supporting documents in the share drive.
  • Assist with the tracking of monthly fuel usage and environmental reporting.
  • Assisting with guests and making arrangements for catering, hard hats and PPE equipment.
  • Monitoring of the cleaning services at the assigned location including coordination with the cleaners both internal and external.
  • Troubleshooting including liaison with the coffee supplier, landlord and printers for any issues.

Required Education & Qualifications

  • High school diplmoa required
  • 2+ years’ experience in an administrative role
  • Basic Working knowledge of Excel, Word and Outlook
  • Good communication skills
  • Ability to work independently or with minimal supervision
  • Previous experience in Admin Assistant or similar role is as Asset
  • Fresh candidates with no experience that meet the other criteria are also encouraged to apply for the role.
