Garland Commercial Ranges is looking for an AI Program Assistant (Summer Student)!

The AI Program Assistant – Summer Student supports the rollout and continuous improvement of internal AI initiatives that increase productivity and help teams work more efficiently. The student will help translate real business needs into clear AI use cases, organize and prepare knowledge content for AI tools, support testing and evaluation, and package training materials to drive adoption—while following company AI governance and safe-use guidelines.

By the end of the term, the student will typically deliver:

• A maintained backlog of AI use cases plus a structured test scenario pack
• A curated, organized knowledge library with consistent metadata/versioning practices
• Updated enablement materials (quick-start guides, prompt library, FAQs) aligned to internal policy
• A short “insights & recommendations” summary highlighting what improved, what didn’t, and suggested next steps

Reporting to the Director, Clamshell Grills, this position is based in our Mississauga, Ontario facility. This is a temporary 4-month coop that is an addition to our headcount.

Key Responsibilities

• Use cases & requirements

  • Collect, document, and maintain a prioritized list of AI use cases and user stories and define what “good output” looks like for each
  • Build and maintain a structured “scenario pack” for testing (inputs, expected outcomes, source references)

• Knowledge content & readiness

  • Help curate and organize reference content (manuals, guides, troubleshooting info) into a clean, searchable library for AI usage and ingestion processes
  • Apply consistent tagging, naming conventions, and version tracking to support reliable AI retrieval and reduce outdated responses

• Testing, evaluation & insights

  • Support evaluation activities by recording results, identifying recurring failure patterns (missing content, unclear prompts, wrong citations), and proposing improvements for review by the project team
  • Assist with lightweight reporting on adoption and outcomes (e.g., common questions, helpful prompt patterns, qualitative time-savings)

• Training & enablement

  • Create and update user-facing materials such as quick-start guides, prompt examples, short training decks, and FAQs for internal AI tools
  • Support scheduling and coordination for training sessions and pilot feedback collection

• Governance & safe use

  • Follow the organization’s AI policy and data handling rules; help convert guidance into practical checklists and “do/don’t” examples for end users

Qualifications

-Specialized Skills, Knowledge, and Abilities

• Strong written communication and ability to turn notes into clear documentation and training content
• Highly organized; comfortable managing lists, templates, and versioned documents
• Comfort with Microsoft 365 (Excel/PowerPoint/Teams/SharePoint); ability to learn new tools quickly
• Interest in applied AI / generative AI use cases, prompt writing, and change management

-Education and Experience

• Currently enrolled in a college/university program (Business, Engineering, Computer Science, Data/Analytics, Information Systems, or related)

• Heavy computer use.

• Normal office environment; must be able to sit for long periods
