Reporting to the Director of Partnerships and Service Integration, the Business Data and Reporting Specialist works collaboratively across the Student Services and Supports portfolio and with campus partners to analyze, plan, organize, collect, and transform institutional data into actionable insights that support enrollment management, student success, and retention.

A core focus of the role is the development of advanced analytics and predictive insights that connect academic performance with student engagement across the full student lifecycle. This includes analyzing participation and outcomes related to orientation, Assessments for Success, and transition supports, leadership and employability programming, first-year experience initiatives, and co-curricular and community-building activities. Engagement data from activities such as orientation events, peer mentorship, workshops, leadership opportunities, first-year programming, student clubs, and volunteer involvement are integrated with academic, enrollment, and demographic data to understand their impact on persistence, progression, and retention.

What you’ll be doing: Data Management and Analytics

  • Supports the day-to-day operations of data management and analytics activities within the Student Services and Supports division, including responding to staff inquiries, troubleshooting issues, coordinating data from multiple sources, and ensuring data integrity.
  • Gathers and refines business and analytical requirements from stakeholders; collects, cleans, validates, and integrates data from academic, enrollment, engagement, and student service systems.
  • Develops advanced analytics, including predictive risk models, progress and performance tracking, cohort analysis, and engagement indicators to support enrollment management, retention, and student success.
  • Analyzes academic performance alongside participation in orientation, transition supports, leadership and employability programming, first-year experience initiatives, and co-curricular activities to identify patterns of engagement, disengagement, and persistence.
  • In collaboration with the leadership team, identifies data quality issues and risks; recommends and implements process improvements to enhance data accuracy, consistency, and reliability.
  • Designs, builds, and maintains operational and analytical reports, dashboards, and visualizations (Power BI) to support both regular and ad hoc analysis of quantitative and qualitative data, in collaboration with Corporate Reporting and Institutional Research.
  • Prepares and presents performance reports, dashboards, infographics, and analytical insights for internal and external stakeholders, translating complex data into actionable recommendations.
  • Builds and maintains user-friendly interfaces for data extraction, querying, and self-service reporting.
  • Develops strategies to automate reporting processes and improve the timeliness and accessibility of insights.
  • Evaluates and verifies the accuracy, consistency, and completeness of data through standardized auditing and validation processes.
  • Uses operational and engagement data to identify opportunities to improve efficiency, service delivery, and student support strategies.
  • Designs and enhances data querying tools, models, and reporting frameworks.
  • Develops and maintains standard operating procedures and documentation related to data management and reporting.
  • Audits reporting tools and dashboards to ensure alignment, accuracy, and completeness.
  • Collaborates with Marketing to analyze and report on web and digital engagement using Google Analytics and related platforms.
  • Equity-focused analytics are a key responsibility of the role, including equity gap analysis to identify differences in engagement, retention, and outcomes by demographic factors such as first-generation status, black and racialized students, international status, Indigenous identity, and part-time enrollment, amongst others.
  • Conducts intervention effectiveness analysis to determine which supports, such as advising, tutoring, orientation, mentoring, and workshops, most effectively improve student outcomes and sense of connection.

Documentation and Institutional Reporting

  • Under the direction of the Director, Partnerships and Service Integration, manipulates and analyzes data from multiple College systems to identify trends in enrollment, student engagement, service utilization, retention, and progression.
  • Analyzes data from systems such as Cognos, Banner, OCAS, Qnomy, Waitwell and other engagement platforms to inform understanding of student behaviors and service effectiveness.
  • Works with members of the leadership team to identify how data can be used to improve student services, orientation, transition supports, and engagement strategies.
  • Provides operational reporting support to the Registrar using data from systems such as Banner, Cognos, OCAS, webforms, Google Analytics, and online application platforms.
  • Writes analytical reports and determines appropriate methods for dissemination to support decision-making.
  • Consults with department Managers to identify new or enhanced data sources that support enrollment planning, student success initiatives, retention strategies, and marketing efforts.
  • Assists members of the leadership team with data preparation, retrieval, compilation, and analysis for research projects, planning initiatives, and reporting requirements.
  • Produces regular statistical and analytical reports (e.g., monthly, term-based) for Managers, Directors, Operations Manager, and Coordinators.

Support for Process Automation and Systems

  • Works with IT on the implementation and enhancement of systems, ensuring compatibility with College systems (e.g., Banner), supporting testing, data migration, and validation.
  • Maintains and updates reports and dashboards to reflect program changes, fee updates, application field changes, and system enhancements.
  • Reviews system updates and communicates impacts to users, ensuring continuity of reporting and analytics.
  • Providing leadership team with current statistical data regularly at peak times to enable the teams to appropriately plan for student support.
  • Updating the Director and Registrar and AVP on current statistical data on a daily, weekly, and monthly basis by generating electronic reports.

What you’ll bring to the role:

  • A minimum of a 3-year diploma or bachelor’s degree in Data Analytics, Information Technology, Computer Science, Business Analytics, Information Systems, Statistics, or a related field, or an equivalent combination of education and progressively responsible experience.
  • A minimum of 5 years of experience in data analysis, reporting, or business intelligence roles within a Registrar’s Office, Admissions, Enrollment Management, or student services environment in an Ontario College or other postsecondary institution; experience in a high-demand, client-service setting is required.
  • Demonstrated expertise in data analysis, data modelling, and reporting, with the ability to interpret complex data sets, identify patterns and trends, and translate findings into actionable insights that support strategic and operational decision-making.
  • Demonstrated experience working with student information systems and institutional data platforms, including Banner (highly preferred), Cognos, OCAS, and related enrollment, academic, and student services systems.
  • Strong working knowledge of office information technology systems, business intelligence platforms, and web-based analytics tools, with the ability to support data-driven environments.
  • Excellent analytical, organizational, communication, and interpersonal skills, with the ability to explain technical concepts and analytical findings to non-technical stakeholders.
  • Proven ability to prioritize, troubleshoot, and problem-solve in a complex, deadline-driven environment, balancing operational reporting needs with longer-term analytical initiatives.
  • Strong hands-on experience with data visualization, analytics, and reporting tools, including Power BI, Google Analytics, and dashboard development for operational and strategic decision-making.
  • Proven ability to apply data analytics techniques, including quantitative analysis, trend analysis, segmentation, and modelling, with strong analytical judgment and data intuition.
  • Experience working with content management systems and digital platforms, such as Drupal, digital signage software, and web analytics tools, to support data-informed communication and reporting.
  • Demonstrated ability to work independently in a complex, fast-paced environment, including initiating work, prioritizing competing demands, managing multiple projects simultaneously, and meeting strict deadlines.
  • Experience handling confidential and sensitive data, with a strong understanding of privacy, data governance, and institutional compliance requirements.
  • Familiarity with Ministry and sector-level systems (e.g., OSAP One-Key, Bursary Reporting System, Students with Disabilities Database) is considered an asset.
  • Experience collaborating across departments and with external partners in a multi-level institutional environment, translating business needs into analytical and reporting solutions.
  • Exceptional attention to detail and accuracy, with the ability to maintain high data quality standards while managing a high volume of work.
  • Strong adaptability and ability to quickly learn new systems, tools, and requirements in response to evolving institutional and regulatory needs.
  • Additional certificates or designations in Data Analytics, Project Management or Business Intelligence would be an asset.
  • Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
  • The ability to communicate and work effectively with diverse students, employees, and communities.
