Role Description The Real Estate Deals Administrator and Operations Coordinator is a full-time, contract (18 months with potential for permanent role) on-site role based in Fergus, ON. This role is responsible for managing real estate transaction files from initial offer through to closing, ensuring all documentation is complete, accurate, and compliant with brokerage and regulatory requirements. Day-to-day tasks include coordinating signatures, tracking key deadlines, updating internal systems and checklists, and communicating with agents, clients, lawyers, lenders, and other stakeholders to keep deals on schedule. The position also supports office operations by maintaining organized records, handling data entry, preparing reports, and assisting with scheduling, office communications, and basic administrative tasks. The coordinator contributes to a smooth, professional client experience by providing timely follow-up, clear communication, and consistent operational support to the team. Qualifications Strong administrative and organizational skills, including document management, data entry, and deadline tracking. Excellent communication and interpersonal skills to coordinate with agents, clients, lawyers, lenders, and vendors. Attention to detail and accuracy in reviewing contracts, forms, and transaction records. Comfort with technology and office software (e.g., email, CRM systems, spreadsheets, document-signing platforms). Ability to prioritize tasks, manage multiple deals at once, and work efficiently in a fast-paced environment. Customer service mindset with a professional, solution-oriented approach to problem-solving. Experience in real estate administration, conveyancing, or transaction coordination is an asset. Knowledge of basic real estate terms and processes, or willingness to learn quickly. High level of integrity, confidentiality, and reliability in handling client and transaction information. Secondary school diploma required; post-secondary education in business, administration, or a related field is an advantage.
