Reporting to the Manager, People & Culture (Buildings East), the Coordinator, People & Culture, will be responsible for supporting the day-to-day operations of the Toronto District and ensuring a consistent and effective application of Human Resources legislation, policies, procedures, and practices.

This position is based in our Mississauga, ON office and is a permanent full-time opportunity.

What You Will Be Working On

People & Culture Support

  • Build and maintain positive working relationships, representing the P&C team, at all levels of the organization.
  • Support a consistent, one-team unified approach demonstrated through the delivery of P&C principles, practices, and policies.
  • Work with the Manager, People & Culture to prepare all proper employee documentation including offer letters, promotional agreements, and termination and resignation documentation.
  • Support employee investigations by providing administrative support through note taking and preparing reports.
  • Manage and organize in person exit interviews and interpret interview data through Workday and Survey tools.
  • Assume responsibility of Workday administration including reporting, promotions, transfers, changes, updates, and vacation tracking and reconciliation.
  • Coach and train new hires and employees on Workday.
  • Answer benefit inquiries for salaried employees.
  • Answer general employee questions, draft letters of employment and respond to requests for information.
  • Exercise and demonstrate sound judgment, strict confidentiality, and adherence to company policies and procedures.
  • Actively participate in meetings; deliver presentations as required.

People & Culture Programs and Process Support

  • Liaise with P&C and Payroll on new hire, promotion, termination, benefits, and other team member changes.
  • Support the development of various P&C initiatives and projects.
  • Support employee orientation and onboarding (preparation of new hire packages, new hire setup (welcome email, IT set up and payroll documents), and ensure consistency amongst groups.
  • Support termination and off boarding process (collect and track hardware, communicate with IT).
  • Assume responsibility for the accurate, complete, and timely preparation of records, reports, and other documents.
  • Propose continual process improvements to P&C standard operating procedures to improve efficiencies.
  • Support the annual service award process including communicating to service award recipients and sending out awards along with assisting in coordination of ceremony including 25 Year Club celebrations.
  • Champion campus hiring and co-op initiatives from career fair/information sessions to candidate selection and offer presentation.
  • Champion sourcing, hiring, and onboarding process for temp/contract workers, collaborating with the management team and temp agencies.
  • Perform other related duties as required.

What we are Looking For

  • Undergraduate degree in Business Administration, or Commerce with a concentration in Human Resources or related discipline
  • Have obtained or working towards a CPHR certification an asset
  • 1-3 years’ experience in Human Resources as a coordinator with a large organization
  • Advanced technical proficiency in Microsoft Office Suite (e.g., Excel, Word, Visio, PowerPoint, Outlook)
  • Advanced technical proficiency in Workday and/or SAP or similar HRIS an asset
  • SharePoint knowledge an asset
  • Ability to work collaboratively with a positive attitude
  • Proven ability to demonstrate a high level of confidentiality, including tact and discretion in preparing, disclosing, and handling information of a sensitive nature
  • Ability to forge, grow and maintain positive relationships with multiple groups
  • Ability to manage multiple priorities simultaneously and meet the time demands of unpredictable activities, capable of handling pressure and challenges in a dynamic business environment
  • Ability to work within tight deadlines and prioritization of work to achieve them
  • Flexibility with work/personal schedules i.e., meetings occurring outside of business hours due to different time zones
  • Strong analytical, critical thinking, troubleshooting, problem-solving skills, and a high degree of accuracy and attention to detail
  • Highly developed interpersonal and organizational skills
  • Superior written and verbal communication skills
