Duties & Responsibilities:
Event & Campaign Coordination
- Plan and execute marketing and sales events — from vendor bookings and catering to print collateral, giveaways, and on-site setup.
- Manage RSVP lists, invitations, and event logistics to ensure a seamless guest experience.
- Support the Sales and Marketing team in launching new communities and sales centers.
Content & Digital Support
- Coordinate on-site videography and photography sessions, including scheduling crews and managing access.
- Support digital content updates across websites, social media, and partner platforms to ensure pricing, visuals, and messaging are current.
- Manage requests from sales centers related to signage, point-of-sale materials, and digital assets.
- Upload creative materials to social media and digital tools (WordPress, HubSpot, etc.) and assist with basic website updates.
Project Management & Reporting
- Maintain and update the marketing project dashboard, tracking deadlines, deliverables, and weekly progress reports.
- Organize digital assets and marketing files within SharePoint for easy team access.
- Support internal reporting, including weekly sales traffic reports, marketing snapshots, and quarterly updates.
- Coordinate invoices, billing, and vendor communications with Accounts Payable.
Vendor & Asset Coordination
- Build and maintain relationships with external vendors, including printers, photographers, videographers, and catering partners.
- Source competitive quotes for print and production, manage contracts and renewals, and ensure timely delivery of assets.
- Measure signage and sales center assets, coordinate installation, and ensure brand consistency across all marketing materials.
Administrative & Scheduling Support

Schedule meetings, campaigns, and mailings (direct mail, email, CRM mass sends).

Manage vendor bookings, deliveries, and renewals for media buys and external partnerships.

Ensure all collateral, creative assets, and campaign details are properly logged and organized for team reference.
Qualifications & Skills:
Education & Experience
- Post-secondary degree or diploma in Marketing, Communications, or a related field.
- Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
- Working knowledge of Meta Ads, Google Ads, and Google Analytics dashboards.
- Experience with HubSpot CRM, WordPress, and social media content scheduling tools.
- Previous experience coordinating sales or product launches, vendor management, and marketing events.
Technical & Marketing Skills
- Intermediate or higher proficiency in HubSpot CRM and WordPress management.
- Strong understanding of digital marketing platforms, campaign performance metrics, and reporting.
- Comfortable managing multiple marketing assets, vendors, and timelines in a fast-paced environment.
Professional Skills
- Exceptionally organized, with the ability to manage multiple priorities and shifting deadlines.
- Strong communicator — capable of adapting tone and style to suit different audiences and personalities.
- Collaborative and team-oriented, with a proactive approach to problem-solving and follow-through.
- Skilled in vendor and contractor coordination, including negotiation and relationship management.
- Open to feedback, direction, and continuous improvement in a dynamic team setting.
