About Us

The Saskatchewan Apprenticeship and Trade Certification Commission (SATCC) is responsible for managing and administering the apprenticeship and trade certification system in Saskatchewan. The SATCC partners with employers and designated post-secondary institutions to provide training and learning opportunities for tradespeople and apprentices across Saskatchewan.

The Opportunity

The SATCC is seeking a highly organized and detailed administrative professional to join our team as an Executive Administrator to the Chief Executive Officer (CEO). Reporting to the CEO -SATCC, the Executive Administrator will provide executive level administrative management and ensure efficient planning, coordinating, and managing administration activities for the CEO while exercising considerable judgment, direction and interpretation of problems and requests.

As the Executive Administrator, your responsibilities will include:

  • Managing the day-to-day administrative operations of the CEO’s office, including schedule maintenance, IT assets and managing information across the commission.
  • Coordinating effective issue management and ensuring the proper flow of information to the CEO while incorporating sound judgement regarding sensitive, urgent and confidential issues.
  • Preparing and coordinating a variety of confidential material, including letters, memos, meeting notes, speeches, reports and meeting minutes.
  • Proofreading correspondence, including highly sensitive and confidential documents, within established deadlines.
  • Providing administrative support for human resource-related activities, including Taleo support, scheduling interviews and other staffing-related activities
  • Providing leadership, guidance, coaching, and training to support staff within the office and to administrative staff across the commission in implementing administrative improvements to ensure efficiency and quality standards are met.
  • Setting deadlines for the Senior Management Team to ensure that materials for the Senior Management Team Meeting and Commission Board of Directors Meeting packages are compiled, and agenda and meeting packages are sent out to ensure adequate time for review.

Ideal Candidate

To thrive in this role, our ideal candidate will demonstrate:

  • Strong administrative and computer skills. Proficient with Microsoft Office and other related software.
  • Strong interpersonal and communication skills (written and oral) to establish effective work relationships and show good judgement when dealing with internal and external stakeholders and staff.
  • The ability to be tactful and discreet when working with confidential and sensitive information.
  • The ability to be independent and confident in order to organize, prioritize and proficiently complete multiple tasks while dealing with frequent interruptions and tight deadlines.
  • Exceptional ability to be adaptable to meet new challenges as they arise.
  • The ability to support others in reaching shared goals through effective communication and problem-solving.

Typically, the knowledge and experience required to achieve the above is obtained through:

  • A combination of formal education in business or office administration, combined with significant executive level administrative work experience.
  • Experience using a variety of computer software applications such as Microsoft Office Suite (Word, Excel, PowerPoint and Outlook); and,
  • Experience with coaching and mentoring staff.
