We’re looking for an Operations and HR Specialist to join the MCAN’s Human Resources team.

This job posting is a replacement role, and we are seeking to appoint a new team member to fill this existing position. The successful candidate will be expected to continue and build on the important work and responsibilities associated with this role, ensuring continuity and ongoing contribution to our team’s objectives.

Job Summary

The Operations & HR Specialist supports a safe, efficient, and engaging workplace by providing hands-on administrative and operational support for the Human Resources team. The role bridges HR coordination and facilities operations, playing an important part in creating a positive team member experience across the full employee lifecycle – while helping ensure the office runs smoothly day to day.

Our Operations & HR Specialist will support HR activities such as onboarding and offboarding, HR systems and file management, addressing general team member HR inquiries, team member recognition, and the coordination of HR events and learning initiatives. From a facilities perspective, the role supports office operations, coordinates with vendors, assists with health and safety activities, and acts as a key point of contact for building management and workplace services.

This role requires regular in-office presence (4-5 days/week) and is well suited for someone who enjoys variety, is keenly organized, and loves being a go to resource for both people and operations!

Responsibilities

HR Support & Coordination:

  • Provide administrative and coordination support across HR operations, including onboarding and offboarding, responding to team member inquiries, and supporting HR processes (i.e. timesheet reviews, vacation tracking, and year-end processes).
  • Assist with HR systems administration (e.g., Dayforce, LMS), and maintain HR and facilities documentation on our shared drive, while keeping internal intranet (SharePoint) content and operational records current.
  • Support HR and Culture Committee events, orientations, training sessions, town halls, and engagement initiatives – handling scheduling, logistics, day-of support, and follow-up.
  • Take a leading role with the Culture Committee, providing coordination and administrative support, scheduling meetings, and assisting with communications and initiatives that bring our culture to life.

Office & Facilities Operations:

  • Coordinate day-to-day office operations, including mail and courier services, inventory and asset management, related invoices, and overall workspace readiness.
  • Serve as the primary point of contact for building management and external facilities vendors, and ensure office spaces, meeting rooms, kitchens, and common areas are clean, organized, and well stocked.
  • Maintain office tools and systems related to desk and room bookings, lockers, keys, access badges, and parking assignment
  • Support health and safety initiatives, workplace inspections, training coordination, and Joint Health & Safety Committee activities.

Skills and Qualifications

  • Demonstrated experience in an administrative, HR coordination, office operations, or facilities-related role
  • CHRP designation (complete or in progress), or background in HR, considered an asset
  • Highly organized with strong attention to detail and a knack for follow-through
  • Comfortable managing multiple priorities in a professional, fast-paced environment
  • Strong verbal and written communication skills, with a service oriented mindset.
  • Able to exercise sound judgment, discretion, and confidentiality
  • Proficient with Microsoft 365 and comfortable learning HR and office management systems
  • Willing and able to work onsite regularly to support office operations and team member experience!
