**Hours:**30 hours/week

Job Summary

The Program Assistant is responsible for overseeing the administration and logistics of programming that provides information, referral, and navigation support for seniors. The Program Assistant works closely with the Team Leader, Program Coordinators, and other staff and volunteers to ensure the efficient delivery of programming. The Program Assistant contributes to the planning, evaluation, and improvement programming, as well as the reporting and documentation of activities and outcomes.

Responsibilities

  • Answer incoming phone calls and emails from participants, caregivers, or other stakeholders in a timely and courteous manner.
  • Provide participants with information about the available resources and services in their community, help them access and navigate the systems, and refer them to appropriate agencies or professionals as needed.
  • Assist participants with finding and connecting to relevant programs and supports that meet their needs and preferences, such as transportation, meals, social activities, or home care.
  • Document the details and outcomes of each call or email in the database and follow up with any required actions or escalations.
  • Maintain accurate and up-to-date records ensuring compliance with the program guidelines, policies, and procedures, as well as the privacy and confidentiality of the participants' information.
  • Enter and update the participants' records in the database, ensuring accuracy and completeness of the data. Use appropriate software and tools to verify, format, and edit the data. Identify and resolve any discrepancies or errors in the data entry process.
  • Assist the Program Coordinators in planning, organizing, and implementing program activities.

Qualifications

  • Relevant education in human services or related fields, or equivalent experience and training
  • Experience in working with seniors and understanding their needs.
  • Skills in working with and developing volunteers.
  • Excellent communication, organization, networking, and leadership skills.
  • Ability to work with diverse groups of people, including different cultures and economic backgrounds.

Required Knowledge, Skills & Abilities (Core Competencies)

  • Outstanding communication skills in oral, written, interpersonal, and facilitation modes.
  • Strong administrative skills such as planning, organizing, and decision making.
  • Ability to work well with different stakeholders, including seniors, families, professionals, program staff, service providers, government ministries, community groups, and partner agencies.
  • Ability to maintain a positive and professional attitude in all situations.
  • Demonstrated computer proficiency in Microsoft Programs (Word, Excel, Publisher, Power Point), and ability to manage databases and generate statistical reports as needed for program accountability and efficiency.
  • Ability to work independently, handle multiple projects and deadlines, and respond to emergency situations in a timely and effective manner.
  • Demonstrated commitment to inclusion and ability to model, share, and educate this value with staff, volunteers, families, and community.
