The Constituency Assistant (CA) provides front-line support to Ward 5 residents and supports the Councillor¿s office through constituency casework, liaison with City Administration, communications, research, and office operations. This role requires strong organization, sound judgment, attention to detail, and the ability to manage multiple priorities in a fast-paced, public-facing environment while maintaining professionalism and confidentiality. Key Responsibilities include:

  • Receive, document, and manage resident inquiries and service requests across email, phone, social media, and other platforms; track issues through to resolution.
  • Liaise with City departments, agencies, and internal partners to advance service requests and address resident concerns.
  • Serve as a key point of contact between the Ward Office, City Administration, community organizations, community associations, and external partners.
  • Draft correspondence, responses, updates, and briefing materials for residents and partners.
  • Manage digital and social media communications, including content creation, execution, publishing, and responding to inquiries.
  • Manage graphic and visual content creation using tools such as Canva or equivalent.
  • Assist with conducting background research and policy review to support responses, briefings, and internal decision-making.
  • Provide operational and administrative support, assist with special projects, and contribute to a collaborative team environment.

Qualifications

  • At least (5) years of experience in a Constituency Assistant or similar public-facing role.
  • Excellent communication skills.
  • Strong organizational skills with the ability to manage multiple files and deadlines.
  • Demonstrated experience in a public-facing role, handling inquiries professionally.
  • Proficiency with standard office and collaboration tools.
  • Fluency in Punjabi, Hindi, or Urdu (spoken) is an asset.
  • Experience in a political, government, or public sector environment.
  • Experience liaising with municipal departments or service agencies.
  • Experience in social media management, digital content creation, and publishing.
  • Background in public policy, community engagement, or municipal governance.
  • Experience working with diverse communities.

Position Type: 1 Temporary

Location: 800 Macleod Trail S.E.

Compensation: Commensurate with experience

Days of Work: This position works 8:00 a.m. - 4:30 p.m.

Monday through Friday with occasional evening and

weekend shift work required.

Hours of work: Non-standard 37.5 hour work week
