About the Role
We are seeking a highly organized, professional, and proactive Executive Assistant to support the CEO and members of our executive team. This is a critical role that requires discretion, exceptional attention to detail, and the ability to manage a fast-paced, dynamic environment.
The ideal candidate will thrive under pressure, handle confidential matters with the utmost integrity, and serve as a polished representative of the executive office in all internal and external interactions.
Key Responsibilities
Calendar & Communication Management
- Manage complex calendars for multiple executives, including scheduling meetings and prioritizing conflicting demands.
- Manage inbound and outbound communications, including executive email inboxes.
- Draft, edit, and proofread documents, presentations, and reports as needed.
Travel & Accommodation
- Coordinate all aspects of travel, including flights, ground transportation, accommodation, and itineraries.
- Handle changes and last-minute adjustments with efficiency and discretion.
Event Coordination – Annual Investor Retreat
- Serve as one of the leads in planning and executing the company’s multi-day annual investor retreat.
- Coordinate logistics, vendor management, investor communications, and onsite execution.
- Act as the primary point of contact for investors and external partners before and during the event.
- Prepare and run PowerPoint presentations and meeting materials for executives.
Administrative & Operational Support
- Organize and set up boardrooms and meeting spaces, including AV setup, food and beverage orders, and preparation of meeting materials.
- Serve as point of contact for partners, investors, and various stakeholder relationships.
- Plan and prepare materials including agendas, briefings, and presentations for management committee, investor, and partner meetings.
- Support special projects as required.
Expense Management
- Prepare, review, and process expense reports and track budgets.
Confidentiality & Decision-Making
- Handle sensitive information with discretion and exercise judgment in prioritizing and managing requests.
After-Hours Support
- Be available for urgent requests, travel coordination, or communications outside of standard business hours, including evenings and weekends, as needed.
Qualifications & Skills
- Ten (10) years of proven experience as an Executive Assistant, with at least five (5) years supporting senior executives.
- Exceptional organizational and time-management skills with the ability to prioritize tasks and meet tight deadlines.
- Strong attention to detail and accuracy.
- Polished and professional demeanor; able to represent the executive office to internal and external stakeholders.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools; familiarity with travel booking platforms preferred.
- Ability to work independently and anticipate the needs of executives.
- Flexibility and adaptability to manage changing priorities and last-minute requests.
