Triovest is seeking an Assistant Property Manager in Edmonton. This role supports the General Manager/Senior Property Manager in overseeing the day-to-day operations of the properties, ensuring they are managed to the highest standards. The successful individual will demonstrate service excellence, attention to detail, and a strong focus on quality. The Assistant Property Manager will excel in relationship management with tenants and clients, acting as a liaison to resolve operational issues promptly and effectively while minimizing tenant impact.
KEY RESPONSIBILITIES
- Support the General Manager/Senior Property Manager in ensuring tenant satisfaction, budget preparation, and capital plan management.
- Assist with preparing property and financial reports within required timelines.
- Partner with the Building Operations team to maintain the highest standards for all common areas.
- Monitor and respond to the web-based Tenant Work Order System, handling escalated tenant inquiries in a professional and timely manner.
- Manage base building contracts (e.g., window cleaning, landscaping, janitorial, parking, waste removal) and ensure projects are delivered on schedule and within budget.
- Promote and adhere to all safety, health, and environmental policies; proactively identify and mitigate potential hazards.
- Coordinate tenant move-ins/move-outs with construction, operations, security, and building services; ensure signage, access, mail, and documentation are in place.
- Conduct new tenant orientation meetings, ensuring they are familiar with building regulations, procedures, and contacts.
- Maintain accurate and up-to-date Tenant Information Guides, databases, and website content.
- Oversee Accounts Receivable, ensuring timely follow-up on outstanding balances.
- Complete lease audits, tenant communications, and year-end reconciliations in accordance with lease agreements.
- Lead building engagement initiatives, including social media, marketing, tenant, and community events.
- Assist with contract negotiations, budget preparation, cost management, and adherence to purchasing processes.
- Maintain accurate maintenance, administrative, and financial records, ensuring timely entry into Yardi systems.
- Support variance analysis, financial reviews, and monthly reporting requirements.
- Assist with implementing national programs, policies, procedures, and property management best practices.
QUALIFICATIONS & ATTRIBUTES
- Post-secondary degree in Accounting, Finance, or Business Administration preferred.
- Minimum 4 years of experience in property management administration or commercial real estate.
- RPA designation (completed or in progress) is an asset.
- Current or in-progress RECA Property Management License is an asset.
- Experience with Yardi Voyager and Yardi Payscan is an asset.
- Proficiency in Microsoft Office applications.
- Strong financial acumen, including variance analysis and review of operating statements.
- Negotiation skills to secure favorable vendor contracts and resolve tenant matters.
- Knowledge of sustainability practices and environmentally friendly initiatives.
- Strong problem-solving abilities and proactive approach to risk mitigation.
- Excellent written and verbal communication skills with the ability to interact effectively with tenants, clients, service providers, and team members.
- Highly organized, detail-oriented, and able to manage multiple priorities.
- Flexible and adaptable to changing needs and market conditions.
