About the role
What you'll do:
- Reporting to the Team Manager, Central Support, this position is responsible for compiling accurate and complete records, and retention of customer files within SCIC. The Administrative Support Clerk – Records Specialist performs related clerical work in electronic filing, pulling records, proof reading, sorting and checking materials or records to be processed, as well as conducts large volume seasonal and weekly mail-outs.
- Record, organize, prepare, and scan incoming SCIC customer documents.
- File documents electronically with accuracy and quality.
- Validate and export scanned documents and e-documents.
- Manage a filing system for a large capacity of highly confidential and time sensitive documents; ensuring freedom of information and protection of privacy (FIPPA) standards are met.
- Verify and log all cheque run documents received, physically merge various types of documents in contract order, pull cheques and statements, then release when given approval by the division.
- Follow up on discrepancies found in forms, statements, applications, and other documents, in person or by correspondence, in order to make adjustments.
- Execute the delivery of special projects as requested.
- Retrieve, deliver and return requested stored files from Saskatchewan Central Services Record Centre by using the Document Tracking System.
- Compile and mail premium tables and land rating sheets to contract customers, bank institutions, accounting firms and other government agencies.
- Retrieve, reproduce and prepare documentation for provincial auditors, lawyer and/or court purposes, and contract customer requests from electronic files, microfiche and/or archives.
- Update Imaging forms and Validation document types.
- Assist other divisions with various tasks such mail-outs and mailroom duties.
Qualifications:
- To be successful in this position, you will need a Grade 12 Diploma supplemented by two years’ clerical experience, preferably in an office setting.
- Ability to operate office equipment such as scanners, photocopiers, and printers used within SCIC.
- Ability to perform a large volume of repetitive tasks requiring numerical accuracy.
- Computer skills and experience using Microsoft Word, Outlook, Excel, and Teams, to develop letters, spreadsheets etc. iSeries, Kofax Capture, CRM, Ceres and other software.
- Knowledge of various farming practices, and the agricultural industry.
- A criminal record check is required.
- Should the successful candidate participate in the Crop Insurance or AgriStability Programs, their account must be in good standing.
