Reporting to the Senior Manager, Major Gifts & Advancement Operations, the Coordinator, Advancement Operations provides direct support to the Advancement team by administering the Raiser’s Edge database, ensuring accurate data entry, processing gifts, preparing tax receipts and acknowledgement letters, and producing regular and ad-hoc reports. The Coordinator also conducts data analysis to support fundraising activities and assess outcomes. Working under the guidance of senior staff, the role involves managing and analyzing data to assess outcomes, generate insights, and support continuous improvement of Advancement operations.
Summary of Responsibilities:
- Maintain and administer the Raiser’s Edge database of alumni, donors, prospects, volunteers, and other contacts, ensuring accurate data entry, gift and pledge histories, relationship tracking, troubleshooting issues as needed, and liaising with Blackbaud for technical support
- Accurately deposit incoming fundraising donations and gift-in-kind and submit to Finance
- Assist with orientation training for Advancement staff on the fundraising database, as needed
- Prepare regular and ad-hoc fundraising reports for Advancement, Finance, and Financial Aid & Awards
- Maintain accurate donor records system suitable for regular audits and audit trail between the Finance office and Advancement
- Identify opportunities to streamline donor services workflows and contribute to the development of standard operating procedures
- Process gifts and prepare acknowledgment letters and tax receipts
- Develop, monitor and evaluate reports and lists of fundraising campaigns and appeals, moves management, board reports, and other advancement activities
- Conduct research on prospects, including individuals, foundations, and corporations, to support fundraising strategies and donor engagement
- Coordinate the collection of pledge payments in support of fundraisers on the Advancement team
- Work closely with Financial Aid & Awards to ensure all donor funds are disbursed according to gift agreements
- Provide coordination and administrative support for donor events as required
- Answer and/or direct inquiries pertaining to OCAD University’s donor services functions
- Assist the Executive Director, Advancement in related tasks and other development activities that contribute to the successful operation of the Advancement & Alumni Relations unit
Qualifications:
- Post-secondary education in a relevant field (e.g., fundraising, nonprofit management, business administration, or data management), or an equivalent combination of education and experience
- Minimum of three (3) years of experience in administrative support within a fundraising, advancement, or nonprofit environment
- Familiarity with the philanthropic landscape and an understanding of the academic and cultural environment is an asset
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with donor database systems such as Raiser’s Edge or similar CRM platforms
- Strong data management skills, including experience with gift processing, pledge tracking, and donor record maintenance
- Ability to conduct online research, including use of fundraising research tools and donor intelligence platforms
- Demonstrated ability to work collaboratively with colleagues, volunteers, and senior stakeholders in a team-oriented environment
- Excellent written and verbal communication skills, with a high level of professionalism, discretion, and judgment in handling confidential information
- Strong organizational and time management skills, with attention to detail and the ability to manage multiple priorities and meet deadlines while remaining proactive
- Demonstrated commitment to the principles of sustainability, equity and diversity, and experience promoting a respectful work and learning environment for students, staff and faculty
Compensation: OPSEU Unit 1, Appendix A, Grade A4; $31.59 to $41.52 per hour
Hours of Work: Monday to Friday, for a total of 35 hours per week. This is a one (1) year temporary contract, with the potential to become permanent pending budget approval
