Executive Assistant
Major Duties
The Executive Assistant to the President will be a detail-oriented and assertive professional with a can-do attitude and outstanding organizational skills. The ideal candidate will be responsible for managing complex schedules, coordinating meetings, handling correspondence, cultivating relationships with external & internal stakeholders, overseeing project deliverables and performing various administrative tasks related to travel & cost management and successful operation of the President's office.
The Executive Assistant coordinates and supports the initiatives of the Senior Leadership Team including managing and tracking projects, planning events and adjusting the flow of work to ensure efficiency and performance across organizational functions.
Specific Responsibilities
- Facilitating cross-channel feedback from internal stakeholders to management and executive teams;
- Working with functional and site leaders to learn departmental needs and goals;
- Observing, reviewing and analyzing processes to identify inefficiencies and areas where improvements could be made;
- Designing and maintaining clear operational guides and cadence to ensure consistency of operations;
- Collaborating with management and executives to set and execute on functional and organization-wide goals;
- Manage President and Segment calendars, organize segment meetings, and prepare minutes;
- Organize travel, prepare and check travel expenses for the President;
- Handle confidential and sensitive information with discretion.
Qualifications
-
5 + years of experience in high-level administrative position, human resources or project management/operations;

Highly proficient in MS Office suite, in particular: Word, Excel, Power Point and Sharepoint

- Excellent interpersonal skills to build strong relationships with colleagues
- Effective communication, including speaking, writing and active listening
