The Sustainability-Led Integrated Centres of Excellence (SLICE) is a solution-oriented applied research centre at Saskatchewan Polytechnic — advancing sustainable resource management with a full life-cycle lens on economic activities in Saskatchewan’s energy and resources, manufacturing, agriculture and forestry sectors. By working with SLICE, industry and community partners can capture new opportunities, solve everyday problems and realize economic, social and environmental benefits. SLICE’s collaborative approach brings together the expertise needed to address complex issues related to sustainability.

Based at the Saskatoon campus of Saskatchewan Polytechnic, the Administrative Assistant will work collaboratively with the SLICE team to advance the applied research enterprise through efficient and service-oriented administrative support. Reporting to the Director of SLICE and working closely with the Research Operations Coordinator, the Administrative Assistant is responsible for handling administrative tasks relating to SLICE, including communication activities, event organization and meeting logistics, and financial monitoring. The Administrative Assistant builds relationships through excellent customer service and contributes to creating a positive and inclusive work environment.

Specific Accountabilities

Administrative Support to the Director (SLICE)

  • Coordinate and assist the day-to-day operational administration of the Director’s office.
  • Gather, compile and maintain up-to-date files of relevant information and documents to meet Director and stakeholder requirements.
  • Assist with monthly reporting on applied research activities, and other ad hoc reporting needs as requested (includes tracking grant applications, results of competitions, partner meetings, event participation, and compiling and formatting report documents).
  • Assisting with project logistics and timelines as directed by the Director.
  • Working with the Research Operations Coordinator, monitor projects, programs, and services as requested by the Director, including tracking, follow up and assist in close out of issues.
  • Assist with the composition, production and processing of correspondence sent out on behalf of the Director (involves proofreading and editing with a high degree of accuracy and correct application of grammar).
  • Have delegate access for the Director’s calendar, which includes creating/responding to meeting requests, sending emails on behalf of, etc.
  • Email or advise SLICE staff of Director initiatives.

Administrative Support to SLICE Operations

  • Independently organize and prioritize multiple tasks in a dynamic and fast-paced changing work environment.
  • Reception (in-person, telephone, email) for internal & external stakeholders.
  • Inventory of office supplies and placing orders as needed.
  • Manage ordering and tracking of IT equipment for SLICE personnel.
  • Gather information for creating web requisitions.
  • Assist SLICE research personnel by fulfilling various administrative tasks as requested, e.g., travel arrangements, expense claims, meeting organization, etc.
  • Support the confidentiality and security of the office through a variety of professional process and practices.

Communication

  • Monitor SLICE generic email and respond to and/or triage as appropriate, using sound judgement and knowledge of SLICE operations.
  • Maintain and update the SLICE webpage, in conjunction with Communication and Marketing teams, following appropriate visual identity and branding guidelines.
  • Assist in the development and maintenance on an internal SLICE sharepoint or website for internal networking and communication of relevant information.
  • Developing “plain language” summaries of research projects for web and newsletter promotion.
  • Assist with the creation of communication products such as newsletters aimed at external partners (appropriate layout, design and formatting, following visual identity guidelines).
  • Arrange printing/production of hard copies, when necessary.
  • Assist with the creation of slide decks for presentations, including formatting for design, visual identity and consistency.
  • Respond to and direct inquiries from external clients (industry, community organizations, government agencies, Indigenous communities and organizations, non-profit agencies, academic institutions) when appropriate to the Director, or to other departments at Sask Polytech, using sound judgement and knowledge of SLICE operations and Saskatchewan Polytechnic policies, procedures and programs
  • Communicate detailed and accurate information as required to Dean, Associate Dean, Academic Chairs, program heads, faculty and staff, students, outside agencies, government departments and the public regarding routine information about SLICE and applied research operations.
  • Triage and direct media inquiries to the appropriate contact in Communications, using sound judgement and knowledge of communication channels and protocols.

Event Organization and Meeting Logistics

  • Arrange & coordinate meetings for the Director and SLICE research personnel with internal & external stakeholders.
  • Record and transcribe minutes from team and partnership meetings as needed.
  • Assist with planning webinars, hybrid, and in-person events relating to SLICE. This may include internal (Sask Polytech) webinar series, external webinars and “lunch and learns,” networking events, lab tours, and research showcase events.
  • Effectively advertise events to appropriate audiences through digital and other formats.
  • Arrange catering, room rental, AV, registration, etc for events as needed.

Financial Tracking

  • Monitor and track SLICE operational accounts .
  • Work closely with the SLICE Research Operations Coordinator and the Office of Applied Research and Innovation (OARI) in monitoring and transferring funds as appropriate.
  • Flag items of concern to the Director, using sound knowledge and judgement.

QUALIFICATIONS, SKILLS, ABILITIES AND EXPERIENCE

Required Qualifications, Skills and Abilities (QSA)

  • Grade 12 plus a recognized office administration diploma, or an equivalent combination of training and experience

  • Minimum two years’ relevant experience in an administrative position.

  • Intermediate to advanced level of knowledge of Microsoft 365 (including MS Office Suite)

  • Knowledge of and ability to use Zoom, MS Teams, videoconferencing (managing the account, setting up contacts, troubleshooting, etc.), and being adaptive to advances in technology

  • Excellent oral and written communication skills.

  • Working knowledge of administrative financial reporting.

  • Strong data and records management skills with a digital focus

  • Strong organizational and time management skills including planning, scheduling, and prioritizing workloads in a dynamic environment

  • Effective problem-solving skills with strict attention to detail.

  • Effective interpersonal skills.

  • Ability to work independently within a team environment under tight timelines.
