McMillan has an exciting Legal Administrative Assistant opportunity available in the Calgary office. You will play a key role in managing legal and administrative aspects of the practice for your legal professionals.
Please note that this role offers a hybrid workweek. Each week will combine both working at home for a few days and working in the office for the balance. Your hybrid schedule will start once you join McMillan!
What You’ll Do
You will be the go-to person for your team who will depend on your guidance and support to keep them organized. As their champion, you will be involved in a wide variety of administrative tasks, including, but not limited to: drafting correspondence, management and organization of documents in our document system, office and file organization, assisting with closing of transactions, requesting conflict searches, initiating file openings, conducting basic research, assisting with reviewing and releasing dockets, organizing materials, and/or presentations, filing of applications in the court filing system, correspond with court coordinators regarding scheduling of commercial matters, daily calendar and email management, complete expense reports, travel arrangements, and leveraging technology to service clients in an efficient and effective manner.
In this role, your work will have a big impact on our Corporate Restructuring and Insolvency group while working closely with the litigation team. Team members will count on you to provide civil litigation support, provide excellent customer service to clients, and oversee a high volume of collections files.
Here are a Few Ways You Will Make a Difference
- Drafting and filing court documents, including but not limited to: affidavits of service, application materials, substitutional service orders, default judgments, bills of costs, and writs of enforcement, garnishee summons
- Serving court documents in accordance with the Alberta Rules of Court
- Communicating with opposing counsel, process servers, and the Court of King’s Bench as necessary
- Commercial List coordination
- Providing timely file updates to clients and agents
- Maintaining an efficient and well-organized file management and diarization system
- Managing workflows and a shared team calendar and email
- Delegating tasks to team members and following up on outstanding tasks
What You Bring
You have established yourself as a key resource in your successful legal and/or professional services career. Your history includes a post-secondary diploma coupled with a minimum of two to five years of related insolvency and/or bankruptcy matter experience, alternatively experience in and a strong understanding of the litigation process, along with experience in transactional work. You have strong administrative, organizational and interpersonal skills. You are detail-oriented, highly proactive, possess excellent communication and written skills, able to effectively meet deadlines, able to work independently and in a team setting, and provide an exceptional level of client service. You embrace evolving technology and have strong skills in Microsoft Word, Excel, and Adobe Acrobat. Prior experience with Desksite, InTapp and 3E or similar document management, file opening software required. Prior project management and/or collections experience and knowledge of filing procedures/ Court of King’s Bench procedures, the Alberta Rules of Court, Alberta Personal Property Security Act, Bankruptcy and Insolvency Act and Companies’ Creditors Arrangement Act.
