Position Overview:

We’re seeking a dedicated Admissions professional who will play a critical role in providing a combination of technical and business expertise in support of the college’s semester 1 enrolment targets by coordinating the day to day operations of the admissions team, implementing communication plans using the college’s communication tools, supporting all admissions processes and policies at Georgian, ensuring Ministry binding policy directives and Quality directives are adhered to for the college; and supporting all admissions systems, including the Salesforce Admissions system, Ontario Colleges Application Services (OCAS) and International Application System (IAS). Key Responsibilities:

  • Assists the Manager and Associate Registrar in the day-to-day planning, coordination and delivery of all admissions functions, enrolment planning and registration processes, services and information, for all domestic and international admissions.
  • Provides expertise and support to the Admissions Team when issues or exceptional situations arise, analyzes issues, determines solutions and works with IT Services and the Admissions System Specialist to define and implement solutions.
  • Guides and advises staff, students, agents, and other relevant parties on all admissions processes – including any changes to academic requirements or College policies.
  • Provides data, systems knowledge and other support as needed to ensure the accurate and timely processing/coordination of applications, offers and confirmations, which includes prioritizing and allocating tasks to staff
  • In conjunction with the manager, leads the development, implementation and maintenance of the admission process for highly competitive programs with limited seats (e.g. Ranking of applicants, determining minimum scores required, timing and number of offers to release to achieve enrolment targets).
  • Works collaboratively with the recruitment staff and their networks. Communicates critical updates regarding program availability (e.g. Waitlisted or Closed status) to ensure recruiters are providing accurate information to prospective students.
  • Responds to, and where necessary, mediates referred and/or escalated student inquiries/issues, including inquiries made by applicants who did not get accepted. This includes deciding if the College erred and taking corrective action and/ or referring to a more formal appeal process
  • Analyses admissions reports and dashboards to identify where an action is required (eg. Applicant on waitlist, space has become available in their desired program). Advises Admissions Officers on necessary actions.
  • Serves as the Admissions liaison with academic areas, implementing new or updated admissions requirements, which may require creation or updates to rules in Salesforce related to that program’s admission selection process.
  • Coordinates with Admissions System Specialist or Georgian IT, to resolve issues of a technical nature outside of the scope of the position.
  • Provides technical support and guidance to all Admission Officers and the management team as well as other areas within the college that rely on information from the Salesforce admissions system.
  • Act as Admissions lead for the Applicant Portal, ensuring all the logic for portal progression is working as intended. Troubleshoot any issues that arise from student interactions in the portal (e.g. Portal is not displaying correct program to applicant, or is indicating an admission requirement is not met, when it should be).
  • Coordinate with the Senior Integrated Service Officer to make sure Client Services team is kept informed regarding Portal content and updates; receive student feedback from Client Service Officers to continuously improve student experience.
  • Administers the Marketing Cloud Account Engagement (MCAE) and Eloqua systems for Admissions, making sure all Admissions content in the email templates is correct.
  • Work with the Communications Liaison to ensure all Admissions communications are consistent and correct and sent according to the Office of the Registrar communications schedule.
  • Work with academic areas; the Associate Registrar and Manager, Admissions, as well as the Manager, Transfer and Applicant Services to coordinate and align applicant and student communications.
  • Analyze and coordinate population selections and exclusions, and generate any required population lists for ad-hoc communications.
  • Proofread all admissions documents and provide feedback to Marketing, Communications & Recruitment (MCR) as required. Documents include Domestic and International Viewbooks, Domestic Acceptance Package, International Letter of Admission, including partnership letters, and Georgian webpages.
  • Generate and send all required applicant data to be provided to external printing partner weekly.
  • Ensure information regarding admissions and selection processes are maintained and current on the College's website, to ensure applicants and prospective students are aware of Georgian's processes.
  • Develop and maintain documentation regarding admissions systems, processes and policies for all users.
  • Coordinates the set-up, onboarding and training plan schedule for all new team members.
  • Plans and conducts workshops, demonstrations and individual training for staff on changes/improvements to admissions processes.
  • Includes, but not limited to, providing back up to the Admission Systems Specialist, assisting with Open House and other Recruitment events, Convocation, attending/ participating, where needed in system related national and provincial working groups/ meetings (i.e. IAS group, OCIC, AIPSC, CRALO). Acts as designate to Manager of Admissions/Associate Registrar in matters pertaining to admissions.

Qualifications:

  • Successfully completed a Three-year postsecondary diploma or degree in a relevant field of study that may include, but is not limited to Business Administration, or Business.
  • Five years practical experience in a registrar’s office or student service area in a post-secondary education environment.
  • Proven experience demonstrating mathematical, analytical and problem-solving skills to evaluate applicant data and determine the best responses to inquiries
  • Proven organizational skills to work effectively, ability to confidently handle numerous tasks simultaneously, in a high-pressure environment
  • Proven ability to work independently and participate as an effective team member
  • Knowledge of a Student Information System, preferably Banner is an asset
  • Experience with Microsoft Office (Word and Excel) to create and analyze spreadsheets and generate correspondence
  • Knowledge of domestic and international education systems and credential evaluation an asset
  • Previous educational admissions / registration experience is an asset
