About the role

Reporting to the Manager, Legal Assistant Services in our Toronto office, the successful candidate will play an integral role in supporting the Intellectual Property team.

Hours of work are from 9:00 a.m. to 5:00 p.m. ET. Occasional pre-authorized overtime may be required to meet client needs. This is a hybrid role requiring three (3) days in office.

Primary Responsibilities

  • Manage client IP portfolios, ensuring accurate tracking of deadlines, filings, and required actions
  • Provide overflow support across the IP group to assist with workload surges and time‑sensitive tasks
  • Manage daily due‑date lists and advise professionals on deadlines and next steps
  • Prepare, review, and file patent and trademark documents with USPTO, CIPO, and WIPO
  • Prepare and file trademark applications, office action responses, and related submissions
  • Process new patent applications, including national phase, continuation, divisional, CIP, utility, and provisional filings
  • Review and respond to client correspondence; prepare declarations, assignments, and powers of attorney
  • Review and process filing formalities, including official receipts, publication notices, and missing‑parts notices
  • Prepare and file Information Disclosure Statements (IDS) in accordance with fee and certification requirements
  • Monitor deadlines, extensions, and other time‑sensitive IP matters
  • Order and review trademark searches and file histories
  • Prepare reporting letters, invoices, and assist with monthly billing, including proforma review and narrative edits
  • Provide backup support to maintain efficient and consistent workflow within the IP team
  • Perform other related duties as required

Required Knowledge And Experience

  • Completion of a post-secondary Legal Assistant or Law Clerk
  • Minimum 3+ years of experience as a Legal Assistant in an Intellectual Property group.
  • In-depth understanding of business and legal terminology.
  • Solid computer and typing skills; proficiency in MS Office 365, Excel, PowerPoint, and Adobe Pro.
  • Experience working with Elite 3E, Worksite DMS, iManage Work, PATTSY, etc.

Pay Range $55,000 to $75,000 per annum. Pay range to be commensurate with experience.
