The Opportunity

The Customer Service Assistant performs clerical, cashier, and customer service duties in the Finance department. This position will provide back-up in Utilities, Taxation, Accounts Receivable and other areas when required.

Responsibilities

  • Greet customers in person, on the telephone, and by email
  • Receive, open, and distribute incoming mail and faxes to designated recipients or mail slots
  • Receive and process payments, generate system receipts through the financial system, and print daily reports summarizing total receipts
  • Maintain the cash receipt system by setting up new cash receipt codes
  • Maintain an accurate and up to date filing system
  • Log citizen requests into the tracking system
  • Prepare City of Wetaskiwin taxi, dog/cat and business licenses
  • Prepare tax certificates
  • Download daily online bank payments and reconcile to bank deposit/entry
  • Scan receipts
  • Sign up customers on pre-authorized payment plans for taxes and utilities
  • Accept applications for utility services and account connections/disconnections
  • Daily deposit to the City's affiliated bank(s)
  • Unlock City Hall front entrance in the morning and secure in the evening
  • Other financial duties as requested and any other related reports/work as required by management

Education, Qualifications, and Work Experience

  • Accounting Certificate or Business Diploma would be considered an asset
  • 1-3 years of relevant work experience
  • Experience in cash and processing payments and entering deposits
  • Experience in invoicing and completing customer account transactions
  • Experience with Finance software: Great Plains, Diamond is an asset
  • Knowledge of A/R, invoicing is considered an asset

Knowledge, Skills, and Abilities

  • Experience and knowledge with basic accounting principles
  • Demonstrates superior customer service skills and the ability to effectively communicate with the public and internal departments to address inquiries
  • Cash receipting experience
  • Advanced office skills with the ability to manage multiple priorities
  • Fluent in English, both written and verbal
  • Valid Class 5 Driver's License is required

Physical Effort and Safety Commitment

This position is considered to be sedentary and includes, but is not limited to, the following:

  • Sitting, standing, walking, climbing, stairs, kneeling manual dexterity, visual acuity and lifting up to 10 lbs.

The employee is responsible for full cooperation with all aspects of the City’s Occupational Health and Safety program, including compliance with all rules and regulations, and for continually practicing safety while performing their duties, and monitor and enforce subordinate compliance with the OH&S program
