1 Permanent Full Time position, 35 hours per week 1 Temporary Full Time position, up to 6 months, 35 hours per week Job Summary Reporting to the Facility Manager and working in collaboration with the facility team, the Administrative Assistant will be responsible for providing professional administrative support and customer service excellence.

Duties and Responsibilities

  • Assist with general inquiries, requests for information, handle complaints or direct to appropriate staff
  • Collaborate with other team members to provide administrative assistance to the facility team
  • Create, prepare and organize correspondence, reports, mail, and files
  • Effectively organize facility room rental contracts and rooms set-ups while liaising with customers and facility rentals office
  • Maintain budget tracking, data entry tasks, weekly deposits, journal vouchers, payment of invoices and input and prepare reports for payroll
  • Support the facility team by scheduling meetings, conference calls, order office supplies and maintain inventories along with taking minutes

Skills And Qualifications

  • Post-secondary degree or diploma in administrative/business support, along with 1-3 years progressive experience in an administrative role
  • Ability to interact with customers in a confident, professional and courteous manner
  • Ability to prioritize, multitask and work to meet deadlines in a fast paced environment
  • Effective writing and oral communication skills required
  • Experience with cash handling and accounts
  • Experience with data entry, payment of invoices and inputting payroll
  • Knowledgeable in working with Microsoft Office (Outlook, Word, Excel)
  • Must be able to work a varied schedule outside of regular business hours and some weekends
  • Ability to travel to different facilities within the City of Mississauga
  • Professional experience providing administrative support to internal clients and the public
  • Valid CPR, First Aid Certification or willing to obtain in the first six months of employment

Hourly Rate/Salary: $29.32 - $39.09 (Equivalent to salary $53,354 - $71,139)

Grade: B
