Job Summary As a Customer Service Representative-I , your position combines the responsibilities of a Customer Service Specialist and an Equipment Order Coordinator. The ideal candidate will have experience in both areas and be able to provide excellent customer service while also ensuring that orders are processed accurately and efficiently.
Job Duties
- Receive new equipment orders via SF and process to release to production
- Facilitate communications between the customer service department, production team, outside sales, engineering, and management
- Problems solve customer issues (late shipments, short shipments, incorrect orders)
- Input equipment order information in two separate systems (Accpac, Salesforce)
- Process warranty replacement orders provided by Howard, Naren and Richard
- Respond to customer queries regarding part numbers, lead times, back orders, freight costs, discounts, and shipping dates
- Create and maintain parts pricing
- Maintain part orders accuracy by making adjustments to part availability and correcting part orders per purchasing requirements
- Assist all team members in part recognition, part numbers, lead times, back orders and discounts
- Determine the correct replacement part(s) per customer request via part number lookup, manuals, prints, bills of material, etc
- Expedite any customs issues with all shipments (especially Fed-ex couriers)
- Maintain part contract files
- Verify the accuracy of shipping charges and run parts invoicing
- Comply with all applicable OHSA, ESA, and other provincial regulatory laws, as well as company safety policies
- Any other duties assigned by the Customer Service Manager or Senior Executive Teams
- Management retains the discretion to add or change the duties of this position at any time
Qualifications
- Post-secondary degree or equivalent experience
- 2 to 4 years of business-to-business customer service experience
- Microsoft Office skills
- University/College degree in a related field, preferred
- Maintain a satisfactory attendance record
- Perform the responsibilities of the position at a satisfactory level of efficiency
- Must be skilled in data entry, word processing, typing, grammar, and public relations
- Basic mathematics and organizational abilities
- Must maintain confidentiality of employee, department, and company business
Physical Requirements
- May sit for prolonged periods performing repetitive clerical duties
- Stands, stoops, bends, reaches, and carries items and materials of lightweight under 15 lbs.
Compensation type - Salaried, with an hourly rate: $22-$26 based on experience Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
