Reporting to the Business Manager, the Administrative Assistant is responsible for performing the receptionist function for the Administrative offices; assisting with processing purchase orders and invoices for payment; scheduling shifts and preparing payroll data; processing incoming and outgoing mail; filling staff orders for stationery and office supplies; providing clerical support for the Administrative offices; and other related duties.
What you’ll be doing
Aspects of the role will include:
- Greeting visitors and responding to all incoming telephone calls to Administration; providing general information and directing enquiries to appropriate departments
- Receiving and distributing incoming mail and deliveries; preparing outgoing mail and arranging for courier dispatches
- Scheduling shifts for all Library staff, and managing schedule changes to ensure adequate front-line coverage
- Facilitating the review and verification of worked hours and leaves; preparing payroll data and submitting to the Payroll department for processing
- Preparing requests for purchase orders, and submitting to the Purchasing department for processing
- Reviewing invoices for accuracy and completeness, and addressing discrepancies; reconciling invoices to purchase orders; submitting invoices for approval
- Tracking financial transactions; processing petty cash requests for the Administrative offices
What you’ll need to succeed
Qualifications include completion of Grade 12 and related work experience. The successful candidate will have strong interpersonal and customer service skills, with the ability to interact courteously and effectively with the public while maintaining confidentiality. This role requires the ability to work in a team-based environment, demonstrating strong organizational skills, including prioritizing tasks and meeting deadlines while maintaining attention to detail and applying critical thinking. Proficiency in the Microsoft Office suite and general computer skills is required.

- Experience with Questica software
The hourly pay rate for this unionized position starts at $27.30 (2024 rates), based on a 28-hour workweek, plus a generous benefits package.
