The Mechanical and Electrical team for North York, Ontario brings together nearly 35 passionate professionals, committed and ready to tackle challenges with you.
Under the supervision of the Director of Mechanical and Electrical – North York, Ontario, you will be responsible for operational support of the financial and administrative aspects of projects assigned to you by project managers. You will play a key role in the development, planning, coordination, and monitoring of financial issues, in collaboration with various professionals involved (Cost Control Technician, Billing agent, etc.). You will also support the Project Manager to achieve financial performance indicators.
Your role
- Ensure the management of contractual and administrative documents, ensuring their compliance and accuracy, and establish performance indicators using available tools to effectively monitor project progress.
- Support, analyze, and consolidate the needs of internal partners to achieve objectives.
- Provide advisory support to internal partners, submit recommendations to project managers to ensure smooth project execution.
- Actively participate in the implementation of adapted methodologies for effective project management, in accordance with quality standards, established budgets, and planned schedules.
- Analyze end-of-month reports (SAP BO) to document any changes or discrepancies from financial forecasts, and ensure rigorous follow-up.
- Communicate and explain financial information to internal partners.
- Ensure the monitoring, reconciliation, and documentation of accounts receivable and payable.
- Coordinate and carry out various activities related to project execution and control, such as tracking project status, managing timesheets, monitoring project plans, processing change requests, updating schedules, and applying the closure process.
- Manage, monitor, and analyze project files, including cost and hour control, client and supplier purchase orders, budget forecasts, and any other element relevant to the financial performance of the project.
- Participate in monthly meetings with the project manager to ensure billing follow-up (complete and track billing requests).
- Collaborate with the cost control team to define the project structure according to contractual requirements, deliverables, billing terms, and progress tracking.
- Prepare billing instructions in collaboration with project managers and validate the compliance of draft invoices produced by billing agents.
Project Performance Monitoring
- Analyze monthly reports (SAP BO) and document discrepancies.
- Prepare budget forecasts and monitor costs, hours, and purchase orders.
- Participate in monthly billing meetings and complete requests.
- Collaborate with cost controllers to structure projects according to contractual requirements.
Administrative Coordination
- Manage contractual and administrative documents (compliance, accuracy).
- Monitor and reconcile accounts receivable and payable.
- Coordinate activities related to project execution and control (timesheets, change requests, schedules, project closure).
- Assist in preparing amendment requests and fee proposals for projects.
Team Support
- Provide advisory support to project managers and internal partners.
- Simplify financial information for technical professionals.
- Contribute to the application of best practices in project management.
About you
- College or University Degree in accounting, finance, business administration, engineering, project management, or another relevant field.
- At least 5 years of relevant experience in financial project monitoring.
- Relevant experience in consulting engineering is an asset.
- Strong communication and teamwork skills.
- Ability to simplify financial information for technical professionals.
- French language spoken and written is an asset.

Expected compensation for this role is between Pay Range $90,000 - $110,000 annually (Only Applicable to Ontario). Base salaries are determined according to several parameters like skills, experience, and potential impact on the role.
