Portfolio Property and Revenue Administrator

The Role

As Property and Revenue Administrator, you will play a pivotal role in ensuring the accuracy and efficiency of lease management, rent administration, and general property accounting functions across a residential property portfolio. This position is responsible for auditing lease charges, managing resident move-ins and move-outs, maintaining tenant ledgers, and supporting the monthly financial close process.

The successful candidate will work closely with the operations and finances teams, have exceptional attention to detail and ensure compliance with internal processes and procedures.

Essential Responsibilities:

Resident Leasing and Financial Administration:

  • Audit lease charges for accuracy and post weekly move-ins.
  • Review and audit monthly Aged Receivables reporting for accuracy of ledger charges and payments.
  • Review monthly move-outs and apply LMR to tenant ledgers.
  • Post monthly move-outs.
  • Complete monthly Pre-Close of Accounting Month End. Work with Property Manager and Property Accountant to resolve discrepancies prior to Accounting Month End.
  • Complete Deposit Accounting and provide to Property Manager and Property Accountant for refund or collections processes as-needed.
  • Complete Write Offs as necessary.
  • Prepare N1 and N2 Notice of Increase forms for portfolio and provide to Property Managers for distribution.

Rent Administration:

  • Run monthly rent billings in Yardi. Verify accuracy prior to monthly billing posting.
  • Add additional charges to tenants as required (parking, lockers etc.) and update rentable items as required.
  • Maintain tenant ledgers applying charges and credits as-needed.

General Administration:

  • Prepare all necessary paperwork to aid with due diligence that is undertaken for any potential sale of property.
  • Ensure effective and precise electronic filing of all relevant documents.
  • Complete Monthly Cash control and Lease audits for portfolio.
  • Communicate lease audit discrepancies to Property Manager and Property

Education and Experience:

  • Bachelors degree, Diploma or Certificate in Accounting, Business or related discipline considered an asset
  • Minimum 1+ years of experience in a customer service or administrative role.
  • Experience in property accounting is considered an asset.
  • The ability to communicate effectively, both oral and written
  • Time management, work under pressure, and meet tight deadlines; ability to handle multiple demands and competing priorities; ability to prioritize workload; ability to work at a detailed level; willingness to learn in a dynamic environment that includes new ideas and change
  • Intermediate to advance skills in Excel, Word, and other Microsoft Office programs
