The position at a glance
The WorkPlace & Services Coordinator supports the head of Premises in various administrative tasks while proposing and implementing innovative ideas to simplify and optimize our processes and ways of working.
This position directly reports to Canada head of Workplace Corporate Services but is interacting on a regular basis with internal or external parties in the U.S. and Europe.
Organization skills and being able to navigate and adapt in a fast-paced changing environment are key to succeeding in this role.
In detail
Oversight of outsourced facilities operations
Analyze current processes on a local/regional level and propose improvements
Go beyond existing framework by suggesting new ideas for internal clients and/or the organization
Leverage transversal/external resources and coordinate efforts to meet the department or region’s goals in terms of digitalization, transformation and optimization of our processes
Relationship manager for Third Party Management tool – Initiate relationship with vendors and coordinate and ensure that they provide all necessary information in a timely manner
Defines controls & metrics (KPis, KRI’s, KAIs) and provide dashboards to upper management
Update policies, procedures and governance documentation as necessary
First point of contact with landlords for subjects not covered by our outsources partner: Ex.: Parking allocation
Manages small projects (construction, furniture, etc.)
Other administrative tasks as needed
Work conditions:
This position generally provides for standard working conditions in an office and a normal work schedule from Monday to Friday. However, projects or emergency situations could require staggered hours and/or work out of regular schedule.
The strengths and skills that will help you succeed
High Scool Diploma completed
5 years+ experience in business management, admnistrative management, team coordination or related fields
Client focus
Excellent written/spoken communication in both languages
Structured and organized
Demonstrated ability to solve problems
Curious and entrepreneurial nature
Skilled knowledge of MS365 tool
Given the vast majority of our clients, both internal and external, are based outside of Quebec and Canada, specific language requirements may apply.Knowledge of French and English is required.
