Position Summary
Performs frontline and administrative support functions for the program. Screens, registers and sets up appointments for clients. Assists in the areas of program marketing, job matching, resume review, client follow-up, database development and analytics, recordkeeping, and event/workshop preparation. Maintains records and files using the required software program and manages data using the required database program. Ensures that the database of employment/career training programs is kept current. Provides word processing for the program, including: general correspondence, training and job search-related correspondence.
Reporting to the Director – Employment and Career Services
Responsibilities:

Performs reception and clerical duties related to Employment and Career Services, including word processing, filing, copying, processing mail, collating documents, and receiving visitors. Responds to and transfers phone calls as required.

In charge of office operations, supporting all staff levels of employment and career development
services department -
Enters client service record information into a centralized database. Once entered, it updates and maintains information in the database.

Provides data analytics and enhances the business process component of service delivery.

Generates contractual program-specific statistical reports and any other reports at the request of the Manager.

Prepares and updates program information and marketing materials, including desktop publishing and production; arranges translations of marketing materials as needed, for distribution to the ethnic media.

Assists the department in preparing logistics for the conduct of information sessions, workshops, and marketing activities. Under specific instructions, conducts follow-ups with clients.

Assists in providing job leads/job postings to clients, matching clients with suitable jobs and providing follow-up assistance or coaching to clients.

Contacts internal/external case managers, staff, service providers, community organizations, employers, and professional associations to obtain or provide information and build positive working relationships.

Maintains and updates database of client information and training, employment assistance programs, and job postings available in the Lower Mainland.

Responds to reports of technical problems related to photocopiers, printers and computers.

If unable to resolve the issue, refer the matter to the Manager or the appropriate department.

Performs other related duties as assigned.
Qualifications:
- Preferably with Human Resources, Administration and Office Management, Business Process and Analytics experience or a relevant degree;
- Familiar with employment programs or similar/related programs and service delivery;
- Efficient in Microsoft Office applications (Word, Excel, PowerPoint, Office 365, Outlook and Canva;
- Analytical, able to problem solve and able to demonstrate initiative.
- Good communication skills (verbal and written communication), and client service/support experience;
- Able to multitask and handle work pressure; the candidate will support multiple programs
