This position provides on-campus support for Continuing Care Assistant students and faculty, assisting them with questions/program requirements. This position will also provide provincial support to the CCA program and assist with the support in coordinating Prior Learning Assessment Recognition (PLAR) within the CCA program. Use of technology is a key component of the position including all office products, Brightspace online learning platform, Banner, etc. Meeting support including setting up, preparing documents, and taking meeting minutes is required, along with the ability to gather and manage student data in Excel Spreadsheet.

Job Duties

This position provides administrative and customer (student and faculty) support for the Continuing Care Assistant (CCA) program. The position provides student guidance, triages program inquiries, coordinates a variety of schedules, assists faculty/students with technical and process related questions, coordinates and supports a variety of meetings, and ensures efficient and effective program delivery. The incumbent works within fast paced and evolving work settings and requires superior organizational and time management skills and the ability to calmly manage stressful situations. This position will need a candidate that is willing to be flexible to working in the different program areas and adapting to the changing pace of the programs in consultation with the academic chairs.

Duties include:

  1. Provide administrative support to ensure efficient operation of CCA office/program.
  2. Provide detailed and accurate program and policy information to faculty, students and internal/external partners.
  3. Perform a variety of administrative and budgetary duties.
  4. Maintain a comprehensive electronic filing system.
  5. Format exams, quizzes, answer keys and transcribe/convert electronic documents into our e-learning system.
  6. Support the documentation for the student life cycle: pre/enrolment, grade point averages, documentation, student retention, and risk management as required.
  7. Coordinate meetings, prepare agendas and record and professionally document minutes.
  8. Manage data in excel- create formulas, extract reports, clean data, data merges, etc
  9. Create and maintain program materials, guidelines, student handbooks, course outlines, and manuals.
  10. Contribute to team efforts, coordinates projects, and is results driven.

QUALIFICATIONS, SKILLS, ABILITIES AND EXPERIENCE

Required Qualifications, Skills and Abilities (QSA)

  • Grade 12 plus a recognized business administration certificate or an equivalent combination of training and experience

  • Minimum of two years recent and relevant experience in administrative and clerical work.

  • Training and/or experience in minute taking and transcribing minutes.

  • Training and/or experience at the intermediate level in the use of common software packages, i.e. MS Office Suite, Zoom and SharePoint.

  • Knowledge of office procedures and ability to research and adhere to policies/procedures.

  • Effective interpersonal skills.

  • Effective communication skills.

  • Effective organizational skills.

  • Effective proofreading skills and attention to detail and accuracy.

  • Ability to work independently in a supportive environment.
