Position Overview:

As an Administrative Support I at OEM, you will be responsible for providing administrative and clerical support to a variety of departments within the organization. Located at reception, your duties will also include answering phone calls, assisting walk-in traffic, and any other applicable tasks.

Job Description:

  • Administrative duties including:
    • Data entry and coding for accounts payable invoices
    • Scanning completed work order travelers
    • Report generation
    • Review and approve OEM training documentation
    • Other miscellaneous administrative duties
    • Time keeping coverage
  • Reception duties including:
    • Providing some security access control functions such as verifying employee identification, issuing visitor passes, observing and reporting any unusual or suspicious persons or activities
    • Maintain visitor supply of PPE by ensuring adequate stock levels and standards
    • Maintain cleanliness of reception, meeting room & sitting area
    • Assist in booking meeting rooms for both internal and external personnel
    • Answering visitor’s inquiries and directing them to their destinations
    • Efficiently answering a multi-line telephone system and quickly directing the calls to their destination
    • Coordinate/distribute inbound and outbound mail and parcel services

Qualifications:

  • High school diploma
  • Proficiency in keyboarding with a high degree of accuracy
  • Effective organizational and time management skills
  • Demonstrated verbal communication skills
  • Strong interpersonal, customer service skills with the ability to develop and maintain good working relationships with vendors, customers, and co-workers
  • Positive and enthusiastic approach to resolution of customer/visitor inquiries
  • Professional demeanor and presentation
  • Previous reception experience is an asset
  • Strong computer skills including MS Office programs

  • This is a Monday - Friday role based out of our OEM Remanufacturing facility in Edmonton
