About the role
Hybrid role - 4 days in office We are seeking a meticulous and detail-oriented Client Matter Intake (CMI) Specialist to join our Finance and Billing team. This position plays a critical role in ensuring the accurate setup and maintenance of client and matter records within SAP, safeguarding billing integrity, and delivering high-quality support to internal stakeholders and clients
You Will Be Focusing On Client & Matter Setup
- Accurately create and maintain client, payer, and matter records in SAP to ensure seamless financial operations.
- Conduct thorough data validation checks to guarantee compliance with internal financial standards and regulatory requirements.
- Collaborate with internal stakeholders to resolve discrepancies and maintain data integrity across systems.
Billing Configuration
- Review and configure billing templates, including phase, task, and activity codes, to align with client-specific requirements.
- Ensure engagement letter terms and agreed billing arrangements are correctly implemented in system settings to support accurate invoicing.
- Proactively identify and correct inconsistencies in billing configurations to prevent delays or errors in client billing.
Rate Management
- Apply client and matter rates precisely according to engagement letters or client agreements, ensuring adherence to negotiated terms.
- Create, validate, and maintain pricing groups within SAP to support accurate financial reporting and billing processes.
- Monitor rate structures for compliance and update them as needed to reflect changes in client agreements or firm policies.
Billing Helpdesk Support
- Manage the general mailbox as the first point of contact for CMI-related inquiries, ensuring timely and professional responses.
- Provide clear guidance and troubleshooting support for internal teams on client/matter setup, billing configurations, and rate management.
- Track and escalate complex issues to appropriate stakeholders, ensuring resolution within established service-level agreements
What You Bring To The Role
- Minimum 3-5 years of experience working in a similar capacity. Experience within a professional services firm is an asset
- Diploma of College Studies in an appropriate area
- Detail-oriented with good problem-solving skills
- Highly organized with the ability to prioritize and manage multiple tasks effectively
- Ability to work well under pressure and meet deadlines in a fast-paced environment
- Solid knowledge of Word, Excel and Outlook
- SAP knowledge an asset
- Bilingual English & French a strong asset

The salary bands provided reflect the typical range for this role in the region indicated. We recognize that each candidate brings a unique set of experiences and skills, and final compensation will be thoughtfully determined based on individual qualifications and current market factors. Please note that salary will be discussed and negotiated during interview
Toronto: $61,700 - $76,200 Ottawa: $60,200 - $74,400 Vancouver: $60,200 - $74,400
