Maintenance Planner

Purpose and Summary

The Maintenance Planner will be tasked with tracking the lifecycle of assets, warranty, and

requirements for facility upgrades through our Capital Renewal software, VFA. They will support the

Maintenance Coordinator in increasing office and department efficiency through proactive planning.

They will work in tandem with the Maintenance Manager to establish a campus-wide preventive

maintenance standard and ensure its implementation through the Computerized Maintenance

management Software (CMMS). This person will liaise with the Maintenance Manager to connect

them to different stakeholders, vendors, prepare action plans, analyze risks and opportunities, and

gather necessary resources.

Key Areas of Accountability

  • Maintain documents and processes for TWU facilities, contractors, and vendors.
  • Establish and maintain digital and physical files, including asset registry, share Team site, drawings (incl. scanning and printing) and inventory of furniture assets
  • Ensure that all necessary documentation for the proper maintenance of campus equipment and buildings is catalogued
  • Run and maintain the Computerized Maintenance Management Software (CMMS) and set up preventative maintenance schedules to ensure campus efficiency
  • Run and maintain the Deferred Maintenance Tracking System in Gordian VFA.
  • Track deferred maintenance levels and provide reports to the Maintenance Manager and Director of Facilities regularly.
  • Track inventory levels and provide support with the purchasing of supplies and appliances.
  • Help coordinate work orders to be assigned to the Maintenance Technicians.
  • Help the Maintenance Coordinator with accounts payable and invoice processing.
  • Take minutes in meetings, keep track of tasks to be done.
  • Liaise with Capital Projects to collect scope and drawings from them and capture them in the asset registry and VFA.
  • Measuring and photographing.

Departmental Support

  • Ensures office efficiency (maintenance of office equipment, routing of visitors when the Maintenance Coordinator is not available, staff, faculty, and student inquiries, distribution of mail, and general reception).
  • Prepare presentations and reports in PowerPoint, Excel, and Word
  • Support and cooperate with other Campus Services Operations, including Capital Projects, Security, Grounds, and Custodial team as required.
  • Provide hands-on support as needed by the department (e.g., moving of physical files, furniture, etc.)

  • Team Player with superior interpersonal skills and a keen eye for detail.
  • Logistics – good analytical and excellent problem-solving skills.
  • Exemplary skills in planning, organizing, prioritizing, scheduling, and implementation.
  • Demonstrated skill in office management and software applications (Incl MS Office and Adobe Acrobat)
  • Multi-tasker who is used to a fast-paced environment.
  • Familiar with plans and layouts – basic understanding of construction language.
  • Demonstrated skill in conflict resolution and the relaying of sensitive and timely information.
  • Able to make independent decisions and use sound judgment in applying TWU policies, rules, and regulations.
  • Able to lift up to 30 lbs. to provide hands-on support as needed by the department.
  • Must have a valid driver’s license.

  • Business or related degree preferred and/or related work experience
  • Formal training in project management or procurement an asset

Experience

  • 3 -4 years in a progressive administrative or analytical support role, preferable within Faculty management, the constructions or manufacturing industry. Project Management experience preferred
