Hourly rate: $39.41
Department: Faculty of Liberal Studies’ School-College-Work Initiative and Academic Upgrading program
Hours: 24 hours per week
Reporting To: Director, SCWI/ AU
Campus Location: Oshawa
Duties and Responsibilities:
The Student Advisor supports student success by providing academic and program guidance for current, potential, and at-risk students, referring students to appropriate college resources, and recommending alternate learning strategies.
Provides Academic Guidance by:
- Guides students in exploring postsecondary and apprenticeship programs, as well as career pathways.
- Assists with college/university applications (OCAS, OUAC).
- Assesses academic success and intervenes as necessary to support student outcomes, including follow up with students who are not attending.
- Facilitates group discussions on postsecondary options for students.
- Refers students to college resources, e.g., study skills workshops, health and wellness, peer tutoring. This may include referrals to external resources based on student check in surveys and one-on-one appointments.
- With student consent, meets with high school teachers, faculty or external agencies, if relevant, to discuss student’s academic status, academic policy, student rights and responsibilities and academic options.
- Accurately documents student notes and maintains records of interactions and recommendations, including maintaining records of information provided to students, date(s) and means of contact as well recommended referrals, strategies, and academic options.
- Advocates for students in student success related matters, for example, with the Director/Manager in exceptional matters or with the professor and/or high school teacher.
- Informs students regarding the application and interpretation of college policies.
- Ensures timely and accurate information is provided upon request and communicated in an efficient, professional, and customer focused manner.
- Assists in verifying and updating some portions of student records.
Provides Administrative and Support Services by:
- Develops trust with diverse learners, address barriers for School Within a College (SWAC) and Academic Upgrading (AU) students.
- Ensures current knowledge is maintained of college and community supports in order to make effective student referrals.
- Confirm student admissions eligibility and status of OCAS applications.
- Manages OCAS application vouchers for SWAC students.
- Liaises with staff in SCWI and AU to ensure student registration needs and changes are supported. Support registration during peak times.
- Collects, maintains and submits data that is necessary to meet Ministry reporting requirements.
- Sends out student communication regarding upcoming deadlines.
- Provides office support and other duties as required.
- Schedules presentations from Financial Aid, Access and Support and other on campus available supports for students to attend.
Participates in school related events/meetings by:
- Assists with student recruiting by participating in Open House and other recruitment events.
- Supports forums and activities run by SCWI and AU.
- Attends divisional meetings and other school meetings, as appropriate.
- Attends regular Student Advisor group meetings with various college representatives to discuss policies/procedures/practices to ensure currency.
Qualifications:
- A minimum of a two-year diploma with a strong emphasis on human relations and interpersonal communications skills.
- A minimum of three (3) years of work experience in an academic office environment with a focus on student interaction and service.
- Knowledge and experience with Banner registration and scheduling.
- Must be proficient in OneNote, Excel, and have excellent general computing skills
- Must be self-directed, motivated and have excellent written and verbal communication skills
- Outstanding organizational skills, including managing multiple deadlines and tasks with competing priorities.
- Ability to effectively apply an equity, diversity, inclusion and belonging lens to student scenarios as well as appreciate the impacts of intersectionality.
- Proven success working in a fast-paced, high volume, complex environment while applying very strong skills in the areas of problem solving, analysis and de-escalation.
- Superior interpersonal skills and ability to build rapport with students, staff, faculty and administrators across the college, as well as the ability to work independently.
- Must have the ability to manage confidential information securely.
- Experience working with vulnerable populations is an asset.
- Experience in a post-secondary environment is an asset.
- Familiarity with DC Connect is an asset.
- Knowledge of admissions processes and programs within the college, related policies and pathway requirements is an asset.
- Must be able to provide a clean Vulnerable Sector Check (VSC) upon hire.
