Qualifications:
Essential:
-
Extensive experience providing administrative and secretarial support to executive and senior level staff, including scheduling meetings, coordinating appointments and making travel arrangements.
-
Experience managing correspondence tracking systems and setting up and maintaining physical and electronic files.
-
Excellent interpersonal skills with the ability to deal with a variety of internal and external stakeholders using tact and diplomacy.
-
Proven organizational and time management skills with the ability to meet strict and shifting priorities.
-
Excellent written communication with the ability to draft, format, edit and proofread correspondence.
-
Experience working with sensitive material in a confidential and professional manner.
-
Excellent problem-solving skills and ability to exercise a high level of initiative.
-
Excellent verbal communication skills.
-
Proficiency in Microsoft Office, including Word, Excel, Outlook and PowerPoint.
-
Thorough knowledge of administrative procedures, legislation and legislative processes, and policies of the Manitoba government.
Desired:
- Experience supervising employees, delegating work assignments and monitoring workflow.
- Experience working in the Manitoba Legislative building environment, providing administrative and secretarial support.
- Experience working with the Activities and Issues Management System (AIMS) or Shared Information Management System (SIMS).
Duties:
Providing specialized, confidential administrative support to the Minister, the Assistant will function as the office lead and scheduling coordinator. This position works under limited supervision and exercises a high degree of initiative to coordinate and respond to requests, schedule meetings and appointments while ensuring smooth operation of the Minister's office.
