About the role

Job Summary

The Client Services Representative processes test requisitions and performs general clerical functions such as answering phone calls and responding to inquiries for information or test results, data entry and spreadsheet maintenance.

Duties/Accountabilities

Processes test requisitions by receiving specimens and completing requisition forms, entering patient data into computer; issuing new patient identification number where required and identifying duplicate records; correcting errors and omissions in patient demographic data; checking for accuracy and completeness of information. Receives and handles specimens by locating the slides and verifying pertinent information, and retrieving slides needing expediting; corresponding with external physician offices; files and organizes records, such as requisitions and slides. Operates a phone, responds to telephone inquiries, directs calls, refers problems to supervisor. Receives telephone/fax requests for information or test results and handles the request personally or redirects to appropriate individual according to established procedures. Receives and documents information on incoming requests. Responds to routine correspondence and verbal enquiries from medical personnel regarding patient information. Faxes test results and forwards requests for test interpretation to a Medical Laboratory Technologist in accordance with established procedures. Obtains or clarifies missing or questionable information by contacting appropriate areas and enters missing or corrected information into computer system. Utilizes computer software programs to search and retrieve patient information, including the Cancer Agency Information System, the Laboratory Information System, provincial health registry databases. Prints reports as required. Assists with completing test information by contacting specimen submitters when required sample information is incomplete. Assigns correct personal health numbers to requisitions or reports by selecting from pre-established tables. Compares duplicated documents and performs merges by either adding or deleting appropriate data. Operates office equipment such as photocopiers and fax machines. Performs other related duties as assigned.

Qualifications

Education, Training and Experience

Grade 12, medical terminology and two years’ recent related experience or an equivalent combination of education, training, and experience

Skills And Abilities

Ability to keyboard at 45 wpm. Ability to communicate effectively, both verbally and in writing. Physical ability to carry out the duties of the position. Ability to work deal with others effectively. Ability to operate related equipment. Ability to organize work.
