Position Summary:
As a Proposal Coordinator, you work closely with project managers and will liaise with many other proposal contributors and technical reviewers of varying levels and expertise within the Milestone team. You will assume the responsibility of proposal support lead (PSL) on assigned proposals/pursuits, focusing on non-technical requirements - working together with a project manager assigned as the proposal technical lead (PTL).
You will coordinate and drive the development and progression of assigned proposals from GNG/kick-off, through to submittal – performing all tasks that are the standard responsibility of the PSL.
Also, provide support on overall proposal program tasks/projects (e.g., boilerplate development, resume maintenance, proposal status updates in CRM).
Duties & Responsibilities:
- Coordinates, schedules, and chairs/guides meetings on assigned proposals.
- Gathers info prior to GNG mtg: prior loss rationale, prior projects, competitors (listed on bid site).
- Collects and distributes meeting notes and assigned action items.
- Prepares proposal development timeline in consultation with PTL.
- Prepares initial proposal (or other pursuit response) draft, following RFP requirements – gathering and/or drafting non-technical proposal content and requirements for response excluding cost estimate (e.g., bonding, insurance, standard corporate content, project descriptions/profiles, key personnel resumes, etc.).
- Conducts editorial, and thorough compliance reviews.
- Regular follow up with proposal technical lead (and others with assigned tasks) throughout the process to ensure adherence to proposal development milestones and deadlines.
- Formats, assembles, and submits proposal following authorization.
- Supports proposal director by completing tasks related to broader proposal program components/processes (e.g., boilerplate development, resume maintenance, CRM updates, etc.).
Health and Safety
Reads, understands, and follows MECI’s Corporate Health and Safety Program, Policy, and Procedures. Ensures health and safety is considered in the performance of all activities both on and off the job. Participation in H & S initiatives will be monitored and reviewed, as necessary.
Education Requirements:

Post-secondary education in administration, marketing, business or similar preferred.
Experience Required:

3 + years of experience in administrative support or in a junior technical role (e.g., environmental consulting, engineering).

Proposal experience preferred but not mandatory.
Knowledge, Skills, and Abilities:

Strong written and verbal communication skills.

Organized with exceptional attention to detail.

Ability to coordinate multiple, often competing, tasks and timelines.

Comfortable working and collaborating with all levels of the organization.

Strong Computer skills. Very Proficient in Microsoft suite, specifically Word, Excel, Power Point, and Outlook.

Able to work in a fast-paced environment and meet tight deadlines.
