About the role

We are currently looking for an interim Assistant Controller for an 18 – 24 months project coverage. The Assistant Controller will be supporting the Finance Operations Controller in overseeing the organization and clients accounting operations, financial reporting, and internal controls. This role is responsible for ensuring accurate financial records, supporting compliance with accounting standards, managing accounting staff, and assisting with budgeting, audits, and financial analysis.

The Assistant Controller plays a key role in maintaining the integrity of financial data and improving financial processes to support strategic decision-making

Duties and Responsibilities

Accounting Operations

  • Oversee daily accounting operations, including journal entries, account reconciliations, banking transactions, and government filings and remittances.
  • Ensure accounting processes are executed accurately, efficiently, and in accordance with company policies and regulatory requirements.
  • Review and analyze journal entries and financial data prepared by the accounting team.
  • Review and approve accounts payable payment journals to ensure proper coding, compliance with company policies, and accuracy of transactions.
  • Monitor and review accounts receivable and accounts payable balances and transactions.
  • Prepare and hand over any new portfolio’s statements
  • Review and support closing lots
  • Analyze payroll entries and rebillable payroll data providing insights and adjustments where necessary
  • Review bank and credit card reconciliations to ensure accuracy and completeness.
  • Ensure all reconciliations and supporting documentation are completed on time and in accordance with company standards.

Month-End Operations

  • Manage and coordinate the month-end close schedule to ensure operational accounting activities are completed according to the organization’s accounting calendar.
  • Review and consolidate balance sheet reconciliations prepared by the accounting team.
  • Ensure operational accounting deliverables are completed accurately and within deadlines.
  • Conduct variance analysis and support discussions with Operations and Finance teams regarding financial performance

Team Leadership and Development

  • Support the management and development of the accounting team by providing technical guidance, training, and mentorship.
  • Assist with recruiting, onboarding, and training new accounting staff.
  • Identify high-potential employees and support their professional development.
  • Coordinate workload distribution and promote cross-training within the team to improve operational efficiency and coverage.
  • Provide coaching and support to team members requiring additional guidance.

Operational Support and Collaboration

  • Work closely with Operations and Finance to support budgeting activities and operational financial analysis.
  • Prepare and review operational reports for internal stakeholders, including profit and loss statements, balance sheets, and supporting schedules.

Controls, Compliance, and Process Improvement

  • Review and strengthen internal controls across accounting operations, including cash management, accounts payable, accounts receivable, and financial validations.
  • Ensure tax filings and government remittances are completed accurately and on time.
  • Identify opportunities to improve accounting processes, increase efficiency, and strengthen operational controls.
  • Support internal and external audits by preparing required documentation and responding to audit inquiries.
  • Escalate and report any suspected fraudulent or irregular financial activity.

Additional Responsibilities

  • Respond to inquiries from Head Office, internal teams, and clients while ensuring timely responses from the accounting team.
  • Prepare ad-hoc financial and operational analyses as requested by management.
  • Assist with corporate initiatives and operational projects as required.
  • Perform other related duties as assigned.

Qualifications

  • Bachelor’s degree in Accounting, Finance, or related field
  • +5 years of progressive accounting experience.
  • Minimum of 3 years of experience in a managerial role
  • Public Practice audit experience preferred
  • Excellent communication skills both verbal and written
  • Strong computer skills, Excel in particular (managing spreadsheets and using advanced formulas)
  • Excellent coaching and leadership skills to assist management with 40+ accountants
  • Experience with Microsoft Navision and Business Central is an asset
  • Solid knowledge of bookkeeping and accounting principles
  • Solid knowledge of the Payroll and Value Added Tax(es) V.A.T. taxation system of your province, laws and regulations.
  • Excellent analytical skills and the ability to analyze large amounts of data
  • Excellent organizational skills with an ability to prioritize effectively and work on multiple tasks
  • Self-starter with high degree of initiative
  • A team-oriented approach to meeting goals
  • Enforce, interpret, and implement company standards, policies, and procedures
  • Ability to meet deadlines
