Position Overview:
The HR Coordinator, Learning & Employee Experience will work as part of a dynamic and collaborative team within the in Human Resources department to coordinate and deliver high quality learning, onboarding and employee experience initiatives across the organization. Reporting to the HR Manager, Talent & Organizational Development, the successful candidate will provide program design, e-learning development, and administration of training systems for a variety of employee initiatives related to learning and development, the City’s leader development program, and broader employee experience activities. This role is heavily focused on coordination, managing logistics, scheduling, systems administration, training record accuracy, program communications and the smooth delivery of learning and employee engagement activities.
Key duties and responsibilities
- Provides quality customer service as the first point of contact for employees at all levels on the City’s learning, talent and leadership programs. Responds to inquiries from various channels (e.g. direct, from myHR, email, telephone) with accurate information and in a timely manner.
- Coordinates all aspects of corporate learning delivery, including booking meeting rooms, scheduling sessions, confirming facilitators, arranging AV or equipment needs, maintaining the corporate training calendar, tracking attendance and monitoring effectiveness.
- Maintains the City’s training and activity registration system and ensures learning content, description, intranet pages, promotional materials are accurate and up to date.
- Maintains accurate training records (data entry, mass uploads, expiry tracking, course code naming conventions) to ensure compliance requirements are met.
- Ensures learning content, course descriptions, intranet pages and communication materials are up to date and consistent.
- Designs, develops and delivers organization-wide training programs including corporate e-learning modules, instructor-led courses and supplementary resources in partnership with internal subject matter experts.
- Coordinates and supports the planning and communication of employee experience initiatives such as engagement and employee lifecycle surveys, recognition programs, and employee events.
- Assists in communications for employee experience programs, including preparing intranet updates, and promotional materials.
- Gathers participant feedback, analyzes themes, and supports recommendations for program improvements.
- Coordinates logistics for new hire orientation sessions, including scheduling, invitations, materials preparation, and system updates.
- Ensures onboarding information and resources are current, accurate, and accessible for both full-time and seasonal employees.
- Supports continuous improvement of onboarding content and touchpoints to enhance the new employee experience.
- Provides administrative support to the team for learning, employee experience, and HR initiatives.
- Contributes to continuous improvement of the team by documenting processes, developing standard operating procedures, through technology and other activities.
- Perform other duties as assigned.
Qualifications and requirements
- Completion of post-secondary education in Human Resources, Adult Education or a related field.
- Experience coordinating and administrating learning, leadership development and employee programs.
- Experience in records management to support organizational compliance.
- Experience designing and developing e-learning modules.
- Ability to communicate and work collaboratively with a wide range of individuals including employees, vendors, external contacts and the public.
- Ability to maintain accuracy and high work quality standards.
- Ability to respect and maintain a high level of confidentiality.
- A self-starter with good problem-solving skills.
- Ability to work effectively in a team environment.
- Ability to prioritize competing demands.
- Proficient in Microsoft 365 applications.
- Experience creating training using Articulate Storyline is an asset.
- Experience supporting the implementation of a Learning Management System is an asset.
Hours of work 35 hours per week, Monday to Friday, between the hours of 8:30 a.m and 4:30 p.m. This position is eligible for hybrid and flexible work arrangement options (as per current corporate policy).
