The Human Resources Assistant provides administrative and operational support to the Human Resources department. This role assists with full-cycle recruitment, onboarding, offboarding, employee relations, benefits and payroll support, and ongoing HR process improvement. The HR Assistant ensures accurate recordkeeping and compliance with internal policies and applicable employment legislation while fostering a positive and inclusive workplace culture
Recruitment & Selection
- Support full-cycle recruitment by posting vacancies, reviewing resumes, conducting pre-screen interviews, and coordinating interviews with hiring managers.
- Assist leaders in identifying staffing needs and supporting workforce planning initiatives.
- Maintain accurate recruitment records and applicant tracking data in accordance with internal procedures and external reporting requirements.
- Keep HR data systems up to date with recruitment progress, candidate status changes, and hiring timelines.
- Provide regular reports and updates on recruiting metrics (e.g., open requisitions, time-to-fill, turnover).
- Maintain records for employee hiring incentives and referral bonus payout timelines.
Onboarding, Offboarding & Employee Life Cycle
- Serve as the main point of contact for new hires, coordinating onboarding activities including orientation, system access, technology setup, and documentation.
- Track and process employee life-cycle changes such as probation reviews, team changes, promotions, and status updates.
- Ensure timely and accurate completion of performance evaluation processes.
- Coordinate offboarding procedures, including retrieval of company property, termination documentation, system access removal, and preparation for final payroll.
- Conduct or coordinate exit interviews and maintain complete and accurate offboarding records.
- Ensure all employment transitions comply with legal requirements and internal policies.
- Maintain up-to-date HR information trackers reflecting onboarding, offboarding, and status changes.
HR Administration & Compliance
- Maintain accurate, confidential employee files and ensure HR data systems are current.
- Support leave management by maintaining up-to-date records and ensuring compliance with legislative requirements.
- Provide backup support to Payroll when required.
- Assist with compliance, reporting, and documentation aligned with employment standards, internal policies, and institutional regulations.
- Maintain centralized HR data tracking systems to ensure accurate and timely HR activity records.
Employee Relations & Culture
- Serve as a point of contact for employee questions, escalating issues to HR leadership or management as appropriate.
- Foster and promote a positive workplace culture aligned with the organization’s mission and values.
- Assist with employee engagement initiatives, HR communications, and cultural programs.
Other Duties
- Perform other related duties and special projects as assigned by leadership.
Attributes and Skills
- Strong organizational skills, with the ability to manage multiple priorities in a fast-paced environment.
- Excellent interpersonal and communication skills, with a customer-focused approach.
- Advanced proficiency in ATS, Microsoft Office Suite, and digital sourcing platforms such as Indeed, the applicant manager, and Ceridian Dayforce.
- Analytical mindset to measure recruitment effectiveness and identify trends.
- Ability to work both independently and collaboratively, adapting to changing business needs.
- Knowledge of the Employment Standards Act (ESA) and related HR legislation.
Experience and Education
- Education or a combination of Education and Experience in a Human Resources or Business Administration discipline.
- 1–3 years of human resources or administrative experience, preferably in a Manufacturing environment.
- Experience recruiting in any skilled trade industry is highly preferred. Preference given to people with experience in hiring welders, machine operators, machinists, mechanical assemblers, industrial painters, and sandblasters working with heavy steel.
- Familiarity with payroll and benefits administration processes is an asset.
Shift Availability
- Monday to Friday – 8:00 am – 4:30 pm (On-site)
- Ability to work longer hours when needed.
