Position: Event Specialist
Reports To: Associate Director, Member & Community Events
Contract Type: Indefinite, Full Time

Job Summary
The Event Specialist is responsible for managing relationships with assigned Chapters and leading the planning and execution of in-house member engagement events. This role provides volunteer support and coordinates events to deliver engaging member experiences and community connections. The Event Specialist also plays a key role in analyzing engagement data to inform continuous improvement in event delivery and volunteer engagement.
Key Responsibilities:
Chapter Relationship Management
- Serve as the primary liaison for assigned Chapters, conducting regular check-ins and attending Chapter meetings and events.
- Provide guidance to Chapter volunteers on event planning, member engagement, and budget processes.
- Lead volunteer recruitment, onboarding, succession planning, and training.
- Review Event Promotion Forms and confirm event details in alignment with CPABC policies and budget parameters, coordinate setup with the Event Coordinator.
- Review engagement data, distribute event survey results and share observations with volunteers to support continuous improvement while facilitating discussions on areas for enhancement.
- Support Chapter leaders’ meetings and training sessions.
- Review and recommend approval of Chapter event forecasts, ensuring reasonableness based on past spending and estimated event costs and alignment with strategic goals.
- Lead the annual Chapter Committee Evaluation process and review results with Chapter leaders.
- Conduct quarterly reviews of Chapter spending versus budget and follow up as needed to ensure events are held as forecasted and each Chapter is not significantly over or under budget.
- Distribute monthly and quarterly statistics to Chapter volunteers, including web analytics, member demographics, and survey trends.
- Provide ad hoc support to the Event Coordinator for backend logistics and inquiries.
Professional Events & Conference Services
- Plan and execute CPABC’s in-house member engagement events.
- Support execution of CPABC’s convocation and select conferences.
- Collaborate with the External Affairs & Communications (EAC) team to assist with the development and implementation of event marketing and communications plans.
- Manage relationships with speakers, sponsors, and suppliers.
- Oversee all event logistics, including venue coordination, AV, catering, and registration.
- Set up event registration pages and webpages; draft communications and reminder emails; create post-event surveys;
- Compile comprehensive post-event debrief reports integrating survey insights, and facilitate strategic debrief sessions with internal teams to identify key learnings and drive actionable recommendations. Design and manage event technology platforms (e.g., mobile apps).
- Support budgeting, financial tracking, and post-event reporting for assigned events.
And other duties and responsibilities as assigned by the Associate Director, Member & Community Events.
Key Requirements:
Knowledge and Experience
- Bachelor’s degree or post-secondary education in Marketing, Business Administration, or a related field;
- Five (5) plus years of experience in event and conference planning, including budget management and contract negotiation;
- Proven experience working with volunteers and managing stakeholder relationships;
- Strong background in event marketing and communications;
Demonstrated Skills and Abilities
- Proficiency with CRM systems (e.g., iMIS), event platforms, and mobile conference apps;
- Advanced skills in Microsoft Office Suite, Adobe Acrobat, and basic HTML;
- Exceptional organizational and planning abilities with a creative mindset;
- Ability to manage multiple projects with keen attention to detail;
- Excellent presentation, facilitation, verbal and written communication skills;
- Strong decision-making and problem-solving capabilities;
- Outstanding customer service and interpersonal skills;
- Demonstrated ability to analyze data and provide strategic recommendations;
- Willingness to travel regularly and work occasionally evenings and weekends;
- Valid driver’s license and access to a vehicle as needed;
- Ability to work independently when required with strong teamwork skills and a collaborative working style.
Preferred Knowledge, Experience, Skills and Abilities
- Experience in sponsorship sales is an asset;
- Familiarity with platforms such as SharePoint, FileCloud, PheedLoop, and SurveyMonkey is preferred;
The starting annual salary for this position is between $66,550.00 and 79,000.00 per annum, based on candidates’ qualifications, experience, and internal parity. Exceptions may be considered with further review.
