Yee Hong is one of the foremost providers of culturally appropriate senior care in the country, delivering high-quality resident experience and care to Chinese and other Asian seniors since 1994. The organization operates 805 long-term care beds and 308 seniors’ apartment units, with an additional 224 long-term care beds opening in a new home by June 2026. In addition, Yee Hong offers four campuses of managed care, a hospice residence, and a wide range of community-based senior and caregiver support services. Through this comprehensive network, the organization serves more than 15,000 individuals annually across the Greater Toronto Area.

Position Overview

The HRIS Specialist supports the organization’s mission of enabling seniors to live their lives to the fullest with dignity, quality of care, and quality of life in every setting. Reporting to the Chief People Officer, this role serves as the subject matter expert for the HRIS platform, Workday, including payroll functionality. The role also supports the implementation of a workforce scheduling system that integrates with payroll and time and attendance platforms.

Through strong system governance, data integrity, and analytics, the HRIS Specialist helps drive workforce stability, regulatory compliance, and operational effectiveness across the organization.

Key Responsibilities:

Workday System Leadership

  • Serve as Subject Matter Expert (SME) for Workday HCM and Payroll.
  • Configure and maintain business processes, security roles, supervisory organizations, workflows, and integrations.
  • Ensure accurate payroll integration between Workday, scheduling, and time management systems.
  • Lead system upgrades, testing cycles, and release management.
  • Troubleshoot system issues and resolve data discrepancies.
  • Optimize system functionalities to streamline business processes and enhance user experience.
  • Maintain compliance with employment legislation and healthcare sector standards.

Scheduling System Implementation & Integration

  • Support the implementation and configuration of a new workforce scheduling system.
  • Analyze scheduling system processes in concert with operational leaders, ad propose customized solutions to improve performance and efficiency.
  • Collaborate with stakeholders to define business requirements, develop solutions and integration points.
  • Develops, documents and maintains all current and new HRIS business process workflows for scheduling to promote efficiency and alignment with collective agreements.
  • Translates functional requirements into work breakdown structures and technical specifications via information with operations, and the provision of workshops and sessions.
  • Listening to stakeholders’ needs and explaining complex technical issues and solutions in a plain and common descriptive language.
  • Provide technical support and training to users, ensuring they can effectively navigate and utilize the HRIS.
  • Manage integration planning and execution between scheduling, time tracking, and Workday Payroll.
  • Coordinate UAT testing, data validation, and post-go-live optimization.
  • Develop documentation and training materials to support system adoption.

Reporting & Workforce Analytics

  • Partner with the data analyst to develop and maintain standard and ad hoc reports and dashboards in Workday and Power BI.
  • Analyze HR data and generate reports, metrics and dashboards to support HR analytics and operational data driven decision making.
  • Provide workforce insights related to recruitment, performance, compensation, overtime, absenteeism, scheduling efficiency, and compliance.
  • Support audit and regulatory reporting requirements.

Data Governance & Compliance

  • Ensure strong data integrity, privacy, and security controls.
  • Manage system access in accordance with internal controls and risk management practices.
  • Maintain documentation and support audit readiness.

Continuous Improvement & Stakeholder Support

  • Act as liaison between Human Resources, Payroll, Operations, Finance, IT, and vendors.
  • Serve as point of contact for HRIS-related inquiries and provide timely resolution or escalate as necessary.
  • Provide system training and end-user support.
  • Mentoring and coaching the team to develop expertise and drive process and configuration excellence.
  • Identify opportunities to streamline workflows and enhance the candidate, new hire, and employee experience.
  • Stay attuned to industry trends and emerging technologies in HRIS systems and propose system enhancements or process improvements.
  • Contribute to the People Strategy and HR technology roadmap aligned with organizational strategy.

Qualifications & Experience

Education

  • Bachelor’s degree in Human Resources, Information Systems, Business Administration, or related field.
  • Workday certification(s) preferred.

Experience

  • 3 - 5+ years of hands-on Workday HCM and Payroll configuration experience.
  • Experience supporting payroll and time management integrations.
  • Experience implementing or supporting workforce scheduling systems.
  • Experience in healthcare, long-term care, or unionized environments strongly preferred.

Technical Skills

  • Advanced knowledge of:
  • Workday Business Process Framework
  • Workday Security Model
  • Payroll configuration and costing
  • Workday reporting architecture
  • Experience with:
  • APIs and middleware platforms
  • Data mapping and transformation
  • SQL or data query tools (asset)
  • Excel (advanced formulas, pivot tables, data validation)
  • Strong understanding of integration architecture and data governance principles.
