Novarc Technologies is looking for a Project Coordinator for a 9-month contract to join our growing team and support the production of our cobots.

Summary: As a Project Coordinator, you will be instrumental in the smooth execution and coordination of product development projects within a dynamic, cross-functional setting. This role demands close cooperation with both internal teams and external stakeholders to ensure projects remain on track, well-organized, and aligned with core business objectives. Your primary responsibilities will include assisting with project tracking, documentation, scheduling, and communication throughout every phase of the project lifecycle. The ideal candidate is a quick study, meticulously detail-oriented, and thrives in fast-paced environments.

Duties and Responsibilities:

  • Coordinate internal and external product development projects using project management tools (e.g., Wrike), ensuring timelines, deliverables, and scope are maintained.
  • Support cross-functional teams—including hardware engineering, software engineering, production, supply chain, and customer success—by tracking tasks and following up on progress.
  • Maintain up-to-date project documentation, including action registers, risk registers, meeting notes, and communication logs.
  • Serve as a point of contact for clients on coordination-related matters; support communication of milestones, updates, and next steps.
  • Build and maintain project tracking dashboards and tools to monitor progress, highlight risks, and support team visibility.
  • Schedule and coordinate meetings, prepare agendas, document outcomes, and track follow-ups.
  • Assist in identifying and flagging project risks, delays, or changes in scope; escalate issues where needed.
  • Support the coordination of logistics, including planning for installations and interfacing between departments for smooth execution.
  • Assist in the creation of client-facing project materials and internal status reports.
  • Contribute to process improvement initiatives to streamline workflows and improve team efficiency.
  • Occasional travel may be required for site visits and installation support, up to 10%.

Minimum Qualifications and Experience:

  • Bachelor of Engineering or equivalent education and experience.
  • 2+ years of experience in a project coordination or support role, preferably in product development, manufacturing, or a fast-paced technical environment.
  • Experience working with cross-functional teams and external clients.
  • Proficient in project management software (e.g., Wrike, Jira, Zoho, Microsoft Project).
  • Strong organizational skills and attention to detail in tracking and maintaining project documentation.
  • Excellent verbal and written communication skills in English.
  • Ability to adapt quickly, learn new tools or systems, and thrive in a high-speed environment.
  • Comfortable managing multiple priorities and coordinating across various departments.

Nice to have:

  • Project Management certification (CAPM, PMP, Agile, or equivalent) is an asset.
  • Familiarity with product development processes, manufacturing, or industrial automation.
  • Experience supporting logistics, installations, or customer-facing project coordination.
