We are seeking an experienced and highly organized Accounting Assistant to join our Toronto team immediately.

Position Overview:
The Accounting Assistant plays a key role in supporting the day-to-day financial operations of the firm. This position is responsible for accounts payable, accounts receivable, and general accounting administration to ensure accurate and timely financial processing. Experience assisting with full cycle payroll desirable. Working closely with the Controller, the Accounting Assistant helps maintain organized financial records, supports monthly reporting, and contributes to the smooth functioning of the firm’s financial systems.

This position will report to the Financial Controller.

What you will be doing:
Accounts Payable (AP):

  • Process vendor invoices, ensure proper coding and approvals
  • Reconcile vendor statements and resolve discrepancies
  • Prepare payments (cheques, EFTs, etc.) and maintain payment records
  • Respond to vendor inquiries and provide necessary support.
  • Resolve discrepancies with vendors or internal departments promptly and effectively.
  • Contribute to the development and enhancement of accounts payable policies and procedures.

Accounts Receivable (AR):

  • Generate and send client invoices accurately and promptly
  • Record incoming payments and follow up on overdue accounts
  • Maintain customer account records and update billing information

Payroll Assistance:

  • Support payroll processing by gathering time sheets and verifying data
  • Assist with benefit deductions, vacation tracking, and related payroll entries
  • Liaise with HR and external payroll service providers as needed
  • Maintain confidentiality while handling sensitive employee information.
  • Knowledge of relevant payroll regulations and compliance standards.

Accounting Administration:

  • Assist with month-end reconciliations and journal entries
  • Maintain organized digital and physical accounting files
  • Support preparation of reports for audits and financial reviews
  • Provide general administrative support to the accounting and finance team
  • Perform bank reconciliations, account reconciliations, and general ledger accounting to ensure financial accuracy.
  • Prepare detailed financial reports and assist in budgeting processes for various departments or projects.
  • Proficient in Microsoft Excel and general accounting software
  • Maintain a strong emphasis on internal controls and compliance
  • Assist with ad hoc requests.

What you bring along:

  • Diploma or degree in Accounting, Finance, or related field (or equivalent experience)
  • Minimum 3 years of accounting experience, preferably in AP/AR functions
  • Familiarity with accounting software (e.g., QuickBooks, Sage, Xero) and Microsoft Excel Need Proficient
  • Strong attention to detail and organizational skills
  • Excellent communication and problem-solving skills
  • Demonstrated ability to manage multiple priorities and projects in a fast-paced environment.
