About the role

As a Billing Specialist, you will bring your passion for numbers, precision, and customer service to a dynamic team environment. Your goal will be to accurately process a wide range of invoices from straightforward to complex for both external clients and internal operations, all while supporting Canada’s largest oil refinery in Saint John and Irving Oil’s extensive terminal network across Atlantic Canada and the US eastern seaboard. Your success will be defined by your ability to thrive in a fast-paced setting, collaborate closely with your team, and consistently deliver high-quality billing support.

Your Responsibilities:

  • Process invoices, credits, rebills, and refunds using JD Edwards (JDE) for external and inter-company transactions
  • Handle billing cases through Salesforce and transactions via PUTTY software
  • Collaborate with accounting teams to ensure accurate accruals and reconciliations at month-end
  • Resolve internal and external billing issues and respond promptly to inquiries and investigations
  • Maintain the team mailbox in Outlook and ensure timely communication
  • Support continuous improvement initiatives including testing and validating new processes
  • Perform additional duties as assigned by the Manager

Your Skills:

  • Demonstrates strong attention to detail with high accuracy in processing invoices and related tasks
  • Thrives in fast-paced, high-volume environments with effective multi-tasking skills
  • Communicates clearly and professionally, both verbally and in writing
  • Possesses an analytical mindset with a proactive approach to identifying and resolving issues
  • Embraces continuous improvement and adapts quickly to new systems and processes
  • Proficient in MS Office, especially Excel, with solid customer service and teamwork skills

Your Experience:

  • Post-secondary education in Business Administration, Accounting, or Finance, with 3–5 years of related experience
  • Familiarity with general accounting principles and software tools such as PUTTY, JD Edwards, ADDs, and Salesforce
  • Strong technical aptitude and ability to work with financial systems and applications efficiently
