Description Job Title: Fund Development Coordinator
Reports to: Director of Fund Development

The Fund Development Coordinator plays a key role in supporting WinSport’s revenue generation and relationship management activities. This position is responsible for overseeing sponsorship contract management and fulfillment, maintaining accurate donor and sponsor records in the fund development CRM, and ensuring data integrity to support fundraising, sponsorship, and donor stewardship efforts. The Coordinator will work closely with the Fund Development Director, Marketing, and Communications teams to deliver high-quality sponsor and donor experience while ensuring timely and accurate reporting.

Responsibilities Sponsorship Contract Management & Fulfillment
- Manage all incoming and renewed sponsorship agreements, ensuring contracts are executed accurately and on time.
- Track fulfillment of sponsorship benefits, including logo placement, event activations, recognition opportunities, and reporting deliverables.
- Collaborate with marketing, events, and program teams to ensure sponsor obligations are met and documented.
- Maintain clear communication with sponsors regarding timelines, deliverables, and reporting.
- Manage the sponsorship invoicing process for accurate and timely sponsorship payments
CRM Management (Fund Development CRM)
- Serve as the primary administrator for the organization’s fund development CRM system (e.g., Raiser’s Edge, Salesforce, or similar).
- Input, update, and maintain donor, sponsor, and prospect records, ensuring accuracy and consistency.
- Create and maintain processes for efficient data entry, segmentation, and reporting.
- Generate and distribute donor and sponsor reports for internal stakeholders and external partners.
Data Management & Reporting
- Maintain accurate, up-to-date records of donations, sponsorship payments, pledges, and contact information.
- Develop and maintain dashboards, performance reports, and tracking tools to support fundraising and sponsorship strategies.
- Conduct data analysis to identify trends, opportunities, and areas for improvement in donor and sponsor engagement.
- Ensure compliance with privacy laws, CRA charitable receipting requirements, and internal data security policies.
Fund Development Support
- Assist in the planning and execution of fundraising campaigns, sponsorship proposals, and donor stewardship initiatives.
- Support and lead the logistical requirements of sponsorship and donor activations. Work harmoniously with other WinSport departments on the fulfillment needs.
- Support prospect research for potential donors, sponsors, and partners.
- Coordinate preparation of sponsorship fulfillment reports, donor impact reports, and acknowledgment letters.
- Provide logistical and administrative support for donor and sponsor events, including guest lists, RSVP tracking, and post-event follow-up.
- Other duties as assigned.
Required Qualifications & Experience
- Post-secondary education in fundraising, business administration, marketing, communications, or a related field.
- 2+ years of experience in fundraising, sponsorship, or donor relations,
Preference
- Experience working in a non-profit organization
Skills And Competencies
- Experience managing a CRM database (e.g., Raiser’s Edge, Salesforce, DonorPerfect, HubSpot, SponsorCX, Blackbaud product suite).
- Strong organizational skills with excellent attention to detail and accuracy.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with data analysis and reporting tools.
- Knowledge of fundraising best practices, sponsorship management, and donor stewardship principles.
Working Conditions/Physical Demands
- Standard office environment with flexibility for hybrid or remote work as approved.
- Occasional evening or weekend work for events and sponsor activations.

The Bill Warren Training Centre (BWTC) opened in January 1994. The facility provides fitness training and support services to Nordic athletes and the public. The BWTC is located at the Canmore Nordic Centre. It was the host site of the cross-country skiing and biathlon events at the 1988 Olympic Winter Games.
