As a Receptionist, Administrative Services your responsibilities will include:

  • Client Relationship Management:
  • Provide exceptional first contact: Respond to inquiries (both in person and by phone), manage client greetings, and collaborate with the client service team to ensure efficient project execution.
  • Facilitate seamless communication: Coordinate external/internal appointments, meetings, room bookings, and logistics (catering etc.) for optimal client interaction and support of internal colleagues.
  • Operational Efficiency:
  • Optimize daily operations: Process payments, manage daily courier deliveries/pickups, and maintain a well-stocked and organized lunchroom/serveries (including upkeep of dishwashers, coffee machines and serving areas).
  • Leverage technology: Utilize desk booking software, implement digital filing systems for reports and letters, and continuously develop expertise in Grant Thornton software.
  • Quality Assurance & Confidentiality:
  • Ensure flawless client deliverables: Prepare letters, proofread documents, and verify content accuracy of all client materials before finalization.
  • Maintain data security: Securely scan documents and embed them electronically, initiate digital client information lockdown protocols, and participate in monthly billing procedures (when applicable).
  • Teamwork & Support:
  • Collaborate effectively: Provide support to colleagues, manage email and fax distribution, reconcile invoices, and handle various administrative tasks (Including but not limited to expense and time entry, travel arrangements and calendar management).
  • Proactive resource management: Order and maintain office supplies, anticipating the team's needs.
  • Coverage & Cross-training: teach responsibilities to other admin colleagues and provide coverage as needed

  • 2 to 4 years of administrative; professional services experience is an asset

  • Excellent data entry skills and high attention to detail with an aptitude for proofreading and suggesting alternatives
  • Excellent written and verbal communication skills

  • Able to handle sensitive and confidential information with discretion
