Coast Mountain College (CMTN), Terrace campus, invites applications for a full-time continuing Payroll Specialist. Salary will be in accordance with the BCGEU Support Staff Salary Scale, Level 12: $2,646.00 biweekly plus a comprehensive benefits package.

We are seeking a detail-oriented and forward-thinking Payroll Specialist to join our HR and Payroll Department. This role goes beyond processing payroll – it is about building trust, fostering collaboration, and helping us modernize our payroll practices to better serve employees and the College. Duties: Reporting directly to the Payroll Coordinator, the Payroll Specialist provides confidential bi-weekly payroll support and services. You will be part of the front-line for employees, responding to pay-related questions, administering payroll, collaborating with internal teams, and providing support to the Payroll Team.

Duties will include but are not limited to:

  • Accurately processes end-to-end payroll in compliance with legislation, policies and collective agreements
  • Calculates a variety of payroll deductions, such as but not limited to income tax, pension and benefit premiums, charitable donations, garnishments.
  • Partners closely with HR, Finance and other internal teams to ensure transparency and alignment of practices
  • Prepares and maintains payroll documents and reports, such as pension, records of employment, and more.
  • Provides responsive, clear communication and advice to employees, managers and other partners regarding payroll payments, questions and/or issues
  • Maintains and updates employee records within the HR information system and physical files, ensuring accuracy and integrity of payroll data
  • Supports audits, reporting, and year-end activities
  • Calculates and maintains employee seniority lists, ensuring accuracy and compliance with collective agreements and policies
  • Researches, investigates and resolves discrepancies, such as timesheets.
  • Identifies opportunities to update processes, supporting continuous improvement and efficiency
  • Participates and/or supports other HR or payroll related projects as required.

Qualifications

The ideal candidate will have worked a minimum of a full cycle processing payroll for employees of various tenures and employee groups; 3 years being preferred, with proven experience in payroll administration and a strong knowledge of payroll legislation and compliance. Payroll Compliance Practitioner (PCP), or equivalent, from the National Payroll Institute is preferred. The ideal candidate has a collaborative mindset and values working with others and sharing knowledge and has strong technical skills and an interest in leveraging technology to improve efficiency. Familiarity with calculating seniority and interpreting collective agreements within a unionized environment is a strong asset.

Required skills and abilities include:

  • Two-year diploma (bachelor’s degree preferred) in Accounting, Business or other related discipline.
  • Knowledge of full cycle payroll processes, including year-end processes
  • Knowledge of Canadian payroll regulations, tax rules and compliance requirements
  • Experience interpreting and working with collective agreements and/or other regulations and legislation related to compensation or human resources
  • Experience using a complex and integrated payroll system such as Colleague, Banner, Ceridian, Sage, etc.)
  • Ability to effectively manage time, prioritize tasks, be self-directed
  • Ability to work independently with minimal supervision and within a team, multi-disciplinary at times
  • Possess a high level of tact, integrity and discretion in handling confidential information
  • Intermediate skills in Microsoft Word, Excel and Outlook, and
  • Detail-oriented mindset with strong organizational and problem-solving abilities with a proactive approach to resolving challenges and concerns
  • A collaborative team player who thrives in a fast-paced changing environment
  • Ability to communicate complex information to diverse audiences whether through reports, written or verbal communication tools
