Job Description
Basic Purpose
The Project Coordinator is responsible for a variety of administrative duties nationally. Key activities include management of the RFP process, providing insurance documentation for clients and coordinating training for the Toronto office (TSSA, WHMIS, NAESA etc.).
Scope
The role has broad scope across a number of areas, including sales/new business, compliance, inspections and insurance.
Reporting and Working Relationships
Reports to the Toronto General Manager.
Primary Responsibilities (100%)
60%...RFP Management
- Review RFP’s, clarify scope of work and prepare proposals for all aspects of KJA’s business, including new construction, modernizations, new installations, inspections, maintenance procurement and consulting assignments.
- Develop and maintain a variety of templates and resumes/bios for use in RFP’s
15%...Compliance and Insurance
- Obtain insurance documents for clients, including workplace clearance letters.
- Complete any compliance verification documents received from clients.
- Review and update compliance sites (e.g. Avetta, contractor check and comply works) to ensure KJA remains in good standing.
15%...Inspections
- Schedule inspections as needed
- Prepare inspection reports as needed
10%...Other Administrative Duties
- Prepare invoices for projects as needed
- Update tracking/scheduling sheets for proposals, safety training, inspection schedule
- Research and order company tools, “swag” or other items needed for clients
- Provide support to senior management including booking events, lunches, meetings, etc.
- Other duties as assigned
Work Environment/Physical Demands
This position operates in a remote or professional office environment.
Travel
Little or no travel required, other than occasional attendance at company meetings/events and weekly visit to Toronto office to collect mail.
Qualifications
- Post-secondary education in communications, business, marketing or other related field, or related work experience.
- At least three years of related experience, preferably in a professional services or engineering consulting firm

- Strong organizational skills
- Ability to multi-task and manage multiple deadlines
- Exceptional attention to detail
